POSITION SUMMARY

Prepares billing, records charges to customers' accounts, maintains and reconciles accounts receivable and cash records. Coordinates with Membership and Marketing Departments. Reports to Accounting Manager.

RESPONSIBLITIES:

Billing

  • Prepares monthly, quarterly, and yearly billing.
  • Prepares billing for payment plans.
  • Obtains and mails invoice copies for customers as requested.
  • Researches and processes charge backs, returns, refunds, and all A/R adjustments.
  • Prepares and distributes monthly rent invoices to tenants adhering to the terms of lease agreements.

Collections and cash management

  • Answers accounts receivable phone inquiries and follows up.
  • Calls delinquent accounts to expedite payment.
  • Assists in staff batch reconciliations.
  • Collects rents from tenants.
  • Manages petty cash.

Communications

  • Coordinates with Marketing on pre-billing notifications
  • Provides expiring license (30, 60, 90 days) reports to Membership for outreach.
  • Maintains accounting email containing inquiries from members and staff.

Reconciliations

  • Reconciles e-commerce financials daily.
  • Reconciles credit cards daily.
  • Reconciles accounts receivable monthly.
  • Reconciles all bank accounts monthly.
  • Assists in reconciliation of credit card accounts.
  • Prepares journal entries to assist in monthly closings.

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE

Minimum of 1 year experience billing and collecting for a real estate association or an MLS.

High volume phone and email experience required.

Bachelor's degree preferred.

Ability to type at least 40 words per minute.

1-3 Years Management experience preferred.

Positive attitude, willing to help others, enthusiastic about position

Ability to provide excellent customer service and follow through

Ability to perform detail-oriented work with tight deadlines and competing priorities

Ability to work in a team environment


COMPUTER SKILLS

MS Office, especially Excel and Word

MMSI experience preferred

and Divvy experience preferred

Strong web and online orientation

Salary Range: $25-$30/hour, Full-time
