Billing Administrator
Location: Grand Rapids, MI
Schedule: Monday - Friday, 7:30 AM-4:00 PM, 7:30 AM-4:30 PM, or 8:00 AM-5:00 PM (onsite)
Pay: $40,000-$50,000
Our client, a well-established HVAC/mechanical contractor is seeking a Billing Administrator to join their team. This role is essential in ensuring accurate and timely billing for service projects and requires someone who can work independently, make sound judgment calls, and resolve discrepancies with urgency.
Key Responsibilities: Billing:

Review service orders against agreements to determine billable vs. non-billable items

Process time and material, as well as quoted project billing

Identify and resolve billing issues independently-this role requires critical thinking, as not everything is black and white

Process approved invoices and send to customers

Address and resolve billing discrepancies within 24 hours, including credit memo processing
Work Order Auditing:

Review completed service calls to ensure all materials and hours are properly recorded

Compare technician work orders with the ERP system (Coins) for accuracy

Verify billable hours and confirm agreement coverage
Qualifications: - 2-3 years of billing or related accounting experience
- Experience in construction billing or service industry (a plus)
- Proficiency in Office 365 products
- Previous experience with Coins ERP or similar systems (such as JD Edwards) is helpful
