Billboard Leasing & Office Administrator
Reports to: General Manager
Type of Position: Full Time, exempt
Essential Functions
- Negotiate, draft, and manage real estate lease agreements for new and existing billboard locations across multiple properties.
- Maintain detailed lease records, ensuring all documentation is current, accessible, and properly filed.
- Coordinate with property owners and legal representatives to research and update lease agreements due to property sales, inheritance, or ownership changes.
- Work directly with the General Manager to execute lease renewals, negotiate favorable terms, and support the strategic placement of billboard assets.
- Serve as the liaison with the Department of Transportation (DOT) to verify and maintain legal compliance for billboard locations.
- Manage and track sign permits, ensuring timely renewals and compliance with all relevant regulations.
- Support accounting by processing and tracking all incoming and outgoing payments, reconciling bank and credit card statements, and assisting with monthly audits
- Collaborate with the accounting team to ensure accurate financial records, compliance with internal controls, and timely resolution of discrepancies.
- Provide general accounting department support, including data entry and preparation of reports as needed.
- Assist in the collection of overdue lease payments and coordinate with internal departments to maintain up-to-date accounts.
- Serve as the first point of contact for incoming calls, directing inquiries appropriately.
- Provide support to prospective clients by relaying information to the sales department.
- Assist the accounting department with various other duties as required to support the smooth operation of financial activities.

Work Environment

Required Education and Experience
- Bachelor's degree in business, accounting, real estate or related field.
- Minimum of 2 years' experience in real estate leasing, billboard leasing, or related field.
- Exceptional verbal and written communication skills.
- Intermediate to advanced level Excel proficiency.
- Experience in a customer service focused company is a plus.
Physical Demands
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional walking, lifting, bending, stooping, reaching and carrying.
- Mental alertness to achieve high level of accuracy and manual dexterity to operate a computer and other office equipment.
