About the Position
The Transit Administrative Coordinator will serve as a bridge between front-line staff and management providing essential support to ensure smooth daily operations, compliance with policies, and effective communication across teams. This role may also be involved in reporting, scheduling, and assisting with service planning or grants. Responsibilities for this position include:
• Staff Oversight & Support : Supervising front-line staff (2 SOAs), helping with scheduling, training, and day-to-day problem solving
• Reporting & Documentation : Preparing operational reports, maintaining accurate records, and assisting with grant-related documentation to ensure compliance with local, state, or federal requirements
• Customer Service Support : Stepping in as needed to support customer service, answering complex inquiries, resolving escalated issues, and ensuring high service standards are maintained
• Coordination & Communication : Acting as a liaison between departments and facilitating communication among internal and external customers as well as contractors.
• Process Improvement & Project Assistance : Identifying opportunities to improve internal processes, assisting with the implementation of new systems or procedures, and supporting special projects as directed by management This fluent bilingual position serves as a working supervisor and will have direct oversight of two Senior Office Assistants, providing day-to-day supervision, guidance, and support to ensure effective and efficient customer service operations. In addition to supervisory duties, this position will actively assist with front-line customer service support as needed, ensuring high-quality service delivery. The role also includes collaboration with the Transit Specialists and the Transit System Manager on a variety of administrative and operational tasks, including assisting with web-page updates, attending meetings on behalf of Sonoma County Transit, and assisting with processing applications and renewals for ADA para-transit service. The Administrative Coordinator will work with both fixed-route and para-transit contractors, in coordination with the Transit Specialists, to respond to customer complaints, inquiries, and requests.

Minimum Qualifications
Experience: Work experience that would provide an opportunity to acquire the knowledge and abilities listed. Normally, some experience related to general administration, accounting, budgetary analysis, or human resources work including the compilation, tabulation, analysis, and presentation of statistical and narrative written reports would provide such opportunity.
Education: Any combination of course work and training that would provide an opportunity to acquire the knowledge and abilities listed. Normally, academic course work in public administration, business administration, management, accounting, political science, economics, statistics, English composition, psychology or closely related courses would provide such opportunity.
License: Possession of a valid driver's license at the appropriate level including special endorsements, as required by the State of California, may be required depending upon assignment to perform the essential job functions of the position.
Knowledge, Skills, and Abilities
Knowledge of: administrative techniques and principles of organization, accounting, budget and human resources administration; techniques and practices of research methodology, data collection, and preliminary analysis; report writing; application and use of basic statistics; interview techniques sufficient to obtain information related to employment and administrative matters; written and oral communications, including language mechanics, syntax and English composition; modern office methods and procedures; database, spreadsheet and word processing applications including basic methods of graphic presentations.
