Gerstein, an Immigration Law Firm is a well-established and reputable law firm located in Fort Lauderdale, FL. We are seeking a BILINGUAL (Spanish/English) highly organized, detail-oriented, and professional Legal Office Assistant to join our dynamic team. This role provides crucial administrative support to our attorneys and ensures the smooth and efficient operation of our office. The ideal candidate will possess excellent communication and interpersonal skills, a strong work ethic, and the ability to handle a variety of tasks with accuracy and discretion.

Responsibilities:
  • Reception and Communication:
  • Answer and direct phone calls professionally and courteously, taking accurate messages and routing them appropriately.
  • Greet clients and visitors in a welcoming and professional manner.
  • Prepare mail packages for attorneys
  • Draft and prepare routine correspondence, emails, and other documents as needed.
  • Client Interaction and Support:
  • Schedule and confirm client appointments
  • Maintain and update attorney calendars, ensuring accuracy and timely reminders.
  • Under attorney supervision, review basic contract terms and provide general explanations to clients.
  • Maintain client files, ensuring they are organized, up-to-date, and secure (both physical and electronic).
  • Administrative and Office Management:
  • Prepare and process invoices for legal services, ensuring accuracy and timely distribution.
  • Manage office supplies and place orders when necessary.
  • Assist with basic bookkeeping tasks and expense tracking.
  • Operate and maintain office equipment (e.g., copier, scanner, fax machine).
  • Assist with other administrative tasks as needed to support the efficient operation of the office.
Qualifications:
  • High school diploma or equivalent required; Associate's degree or some college coursework preferred.
  • Proven experience (typically 1-3 years) as an administrative assistant, legal secretary, or office assistant, preferably within a legal environment.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with legal calendaring software and practice management systems is a plus.
  • Ability to handle confidential information with discretion and maintain professionalism.
  • Strong attention to detail and accuracy.
  • Professional demeanor and appearance.
  • Ability to work independently and as part of a team.
  • Familiarity with basic legal terminology and contract concepts is desirable.
