OVERVIEW OF RESPONSIBILITIES:

The Bilingual Receptionist/Administrative Assistant is responsible for the provision of culturally informed, effective and quality support to clients and staff as part of an integrated team of administrative employees.

QUALIFICATIONS:

  1. Education: High school diploma or equivalent.
  2. Experience: Minimum two years administrative or related experience. Proficient data entry and word processing.
  3. Bilingual: Must possess the ability to read, write and communicate fluently in Spanish. Must be able to pass an agency provided verbal and written Spanish proficiency test with a score of 9 or higher.
  4. Driving: Must qualify as an agency approved driver at the time of hire, which requires the candidate to possess a valid Oregon driver's license, a vehicle, and current insurance coverage.
  5. Ability to work effectively as a member of an integrated team.
  6. Ability to relate effectively with youth, parents, community, and referral sources.
  7. Ability to work in a stressful, unstructured environment, and maintain a positive mental attitude.
  8. Good communication skills.
  9. Cultural sensitivity and ability to work with people from diverse cultural backgrounds.
  10. Ability to maintain confidentiality.
  11. Knowledge of business English and Spanish, spelling, and punctuation.
  12. Knowledge of office practices, procedures, and use of standard office machines.
  13. Ability to make routine math computations and tabulations accurately and with reasonable speed.
  14. Ability to learn the assigned administrative tasks and follow established procedures.
  15. Ability to understand and carry out oral and written instructions.
  16. Ability to learn and complete complex tasks that require independent judgment.
  17. Ability to work independently.
  18. Ability to type 60 words per minute with accuracy.
  19. Ability to complete Agency taught CPR/First Aid course.
  20. Professional appearance appropriate to the position.

SPECIFIC DUTIES:

  1. Answer phones in a professional manner.
  2. Greet clients and accept payments for services.
  3. Perform typing, filing and data entry.
  4. Assist staff in clerical functions as requested.
  5. Open or close office as needed, at the main office location and at satellite office locations in the Eugene/Springfield area.
  6. Receive and/or return telephone calls to Spanish speaking new referrals and manage the flow of new Spanish referrals to program services.
  7. Review documents in Spanish for accuracy
  8. Place appointment reminder calls in Spanish to Spanish speaking clients and families
  9. Participate in monthly Spanish supervision group, in addition to regular individual and group supervision in English.
  10. Perform other duties as assigned.
In compliance with applicable laws and licensing requirements, Looking Glass Human Resources Department conducts a background check on all new employees, non-paid staff (volunteers and interns), and existing staff as required. This is completed by the Background Check Unit with the State of Oregon per the Oregon Administrative Rules.
