About the Role: We're looking for a seasoned Office Manager with strong leadership skills and a solid background in supporting field-based trade operations. This person will be the operational heartbeat of our gutter services company-overseeing job scheduling, customer service, materials management, and crew coordination.
We're especially interested in candidates who are bilingual (English/Spanish) and can confidently communicate with both customers and trades workers to keep things running efficiently and professionally.
Key Responsibilities: Field & Crew Coordination: Act as the primary point of contact between office and field teams
Schedule and dispatch gutter installation and service crews daily
Ensure crews have correct job details, materials, and permits
Track job progress and communicate updates with clients and team leads
Customer Communication: Respond to inbound calls, emails, and messages professionally
Provide job quotes, answer service-related questions, and handle concerns tactfully
Follow up with customers post-installation to ensure satisfaction
Translate for Spanish-speaking customers and crew as needed
Administrative Operations: Order materials and manage inventory in coordination with the field team
Maintain records of work orders, contracts, receipts, and timesheets
Assist with payroll processing, invoicing, and accounts receivable
Ensure licensing, insurance, and safety documentation are current and compliant
Team Support & Office Management: Support hiring and onboarding of new field and office staff
Help maintain a clean, organized office environment
Contribute to process improvements that boost efficiency and communication
Who You Are: Experienced: 5+ years of office or operations management, preferably in construction, roofing, gutters, landscaping, or other trades
Bilingual: Fluent in both English and Spanish (required or strongly preferred depending on need)
Skilled Communicator: Able to clearly and respectfully communicate with customers, crew members, and vendors
Organized & Detail-Oriented: You thrive in a fast-paced environment and know how to prioritize
Technologically Capable: Comfortable using scheduling software, QuickBooks, Microsoft Office, and CRM systems (experience with Jobber or ServiceTitan is a plus)
Bonus If You: Have experience working in a small, growing company or family-owned business
Understand the ins and outs of gutter systems, roofing, or exterior trades
Can manage projects, not just paperwork-thinking ahead to avoid hiccups
