Bilingual (English/Spanish) Medical Office Administrative Assistant

Salary Range: $20-$23/hr (flexible/based on experience)


Key Responsibilities:

Patient Communication & Scheduling:
  • Answer incoming phone calls from patients and address inquiries or direct them to appropriate clinical staff.
  • Schedule, reschedule, and manage patient appointments, including follow-ups based on surgery timelines (2-week, 6-week, 6-month, 9-month, and 12-month).
  • Send telephone encounters to Medical Assistants (MAs) or Nurse Practitioners (NPs) for medication refills or patient questions.
Patient Check-In/Out & Documentation:
  • Assist with patient check-out and confirm follow-up appointments.
  • Verify patient financial responsibility (copay, deductible, coinsurance) and address any account credits or balances.
  • Print and organize superbills for the following day.
Billing & Invoicing:
  • Send invoices for telemedicine appointments and outstanding balances.
  • Create patient accounts in the payment system if not already present.
  • Enter general and billing information including name, phone, and email.
  • Generate and send invoices with appropriate services and charges.
Insurance & Benefits Verification:
  • Ensure all patients have verified insurance benefits.
  • Communicate with insurance verification team when needed and follow up via email if information is missing.
Payment Processing:
  • Post payments received from patients, including in-office and online invoice payments.
  • Log payment details (date, amount, method, authorization number) accurately in the system.
  • Reconcile end-of-day payments, ensuring alignment between the ECW system and Sky payments.
New Patient Intake:
  • Process payments for new patients and confirm receipt of required documentation (completed paperwork, insurance card, valid ID) before check-in.
Check-In Support:
  • Assist with patient check-in during peak hours or when the front desk is backed up.

FMLA Processing:
  • Collect necessary payment and leave information (start and end dates).
  • Once complete, forward documentation to designated staff for final processing
