Key Responsibilities:
  • Multi-State Benefits Management & Compliance: Administer complex aspects of employee benefits programs across multiple states, ensuring deep understanding and application of California-specific regulations and compliance requirements.
  • Strategic Open Enrollment Execution: Lead key components of the annual open enrollment process, including communication strategy support, system configuration oversight, and complex employee issue resolution.
  • Advanced Leave of Absence Administration & Analysis: Manage and oversee the processing of various leave requests (e.g., FMLA, disability, personal leave), ensuring compliance and identifying trends for potential policy improvements.
  • Complex Benefits Enrollment & Vendor Liaison: Manage intricate employee enrollments, changes, and terminations in benefit plans, serving as a key point of contact with benefit vendors to resolve escalated issues and ensure smooth operations.
  • Expert Employee Consultation & Issue Resolution: Serve as a knowledgeable resource for complex employee benefits inquiries, providing in-depth explanations and resolving escalated issues with minimal guidance.
  • Vendor Relationship Support & Performance Monitoring: Collaborate with benefit vendors on eligibility, issue resolution, and assist in monitoring vendor performance against service level agreements.
  • Data Integrity & Reporting: Maintain meticulous and accurate employee benefits records and contribute to the development of benefits-related reports for analysis and compliance purposes.
  • Compliance & Process Improvement: Ensure adherence to established procedures, proactively identify potential compliance risks, and contribute to the development and implementation of process improvements.
  • 401(k) Administration Support: Participate in the review of 401(k) contributions, assist with loan processing, and support the annual audit and compliance activities.
Requirements:
  • 2-4 years of progressive experience in benefits administration or as a benefits specialist.
  • Demonstrated expertise in administering benefits in a multi-state environment, with in-depth knowledge of California benefits regulations.
  • Proven experience in leading significant aspects of the annual open enrollment process.
  • Strong understanding and practical application of leave of absence administration, including federal and state-specific leave laws.
  • Solid experience processing complex employee benefits enrollments, changes, and terminations, including troubleshooting vendor-related issues.
  • Exceptional attention to detail, strong organizational and analytical skills, and the ability to manage highly confidential information.
  • Excellent verbal and written communication and interpersonal skills with a proactive and solutions-oriented approach.
  • Advanced proficiency in HRIS systems and Microsoft Office Suite, with the ability to leverage technology for efficiency.
  • Familiarity and some working knowledge of 401(k) plan administration and compliance.
  • Strong ability to interpret complex benefits policies, procedures, and regulations.
