This position is key to supporting the company's commitment to providing competitive, well managed benefits while ensuring positive employee experience and regulatory compliance across all locations. This is achieved by: administering all aspects of benefits, including new hire enrollment, billing reconciliation, annual open enrollment, managing benefits within ADP and corresponding EDI connections, managing employee communications, COBRA, ACA reporting, and compliance; supporting 401k, FSA, DCA administration; providing expertise to local HR teams; serving as the liaison with executive leadership and brokers on plan design and RFPs.
Duties and Responsibilities - Oversee all employee benefits programs including medical, dental, vision, ancillary, EAP, 401k, FSA, DCA) for the entire company, ensuring consistent administration and compliance across all US locations.
- Serve as the primary benefits expert and main point of contact for the company, supporting HR teams at each location and addressing employee inquiries.
- Reconcile carrier invoices against ADP enrollments to ensure billing accuracy and resolve discrepancies.
- Manage annual open enrollment, including marketing, employee meetings, and preparation of benefit guides and communications.
- Build and maintain benefit plans, rate sheets, and group-based options within the ADP Benefits portal.
- Coordinate with brokers and C-suite leadership to review, advise on, and implement RFPs for benefit plans.
- Monitor and manage benefit costs for employees on leave, ensuring proper deductions and compliance.
- Administer COBRA benefits, including eligibility determination, notifications, and ongoing compliance with federal and state regulations.
- Ensure ACA compliance and reporting within ADP, including tracking employee eligibility, affordability, and completion of required IRS forms (1094-C/1095-C) and state filings.
- Manage EDI connections with carriers and ADP, ensuring accurate data transmission and resolving any discrepancies.
- Oversee relationships with Third Party Administrators (TPAs) for self-funded or level-funded plans, including plan design, claims processing, and compliance.
- Provide prompt and effective support to employees regarding enrollment issues, benefit card requests, and guidance on accessing carrier web portals and mobile apps.
• Assist employees experiencing issues with their coverage, including incorrect billing by providers or carriers, and facilitate swift resolution in collaboration with carriers, TPAs, or internal teams. Expected to quickly and effectively resolve any issues that employees may encounter with their benefits, ensuring timely access to coverage and accurate administration of all benefit programs. - Maintain compliance with federal and state regulations, including ACA and COBRA requirements, and ensure accurate documentation and reporting.
- Develop and distribute benefit guides, presentations, and ongoing employee communications.
- Maintain accurate and confidential benefit records and files.
- Support and train HR teams at each location on benefits administration, policies, and best practices.
Requirements - Associate or bachelor's degree in human resources, Business Administration, or related field is preferred.
- 3+ years of experience administering employee benefits, preferably in a multi-state, high-volume environment including COBRA, ACA, 401k, medical plans
- Experience managing EDI connections and resolving data discrepancies with carriers or ADP.
- Experience with ADP as a payroll platform and benefits administration portal.
• Experience with both level-funded and self-funded health plans. - Experience working with Third Party Administrators (TPAs) for plan administration and compliance.
- Experience reconciling benefits invoices and managing open enrollment cycles.
- Strong communication and presentation skills for employee education and executive collaboration.
- Ability to analyze, recommend, and implement cost-effective benefit solutions.
- Knowledge of relevant employment laws and benefits compliance requirements.
