Job Summary:

Under the supervision of the Behavioral Health Office Manager, the Behavioral Health Receptionist greets visitors, assists with treatment intakes, submits billing, and ensures proper scheduling of appointments for clients and staff of Mount Juneau Counseling & Recovery. This position is permanent, non-exempt, and eligible for overtime pay.

Work Schedule: 8:00 AM - 5:00 PM Monday - Friday with a 1-hour lunch.

Supervisory Responsibilities:None.

Illustrative Tasks:
  1. Reception Duties:
    • Provides friendly, prompt customer service for all clients, visitors, and GHS employees. Greets and welcomes clients and visitors to the clinic in person, via email, and on the telephone.
    • Answers inquiries about GHS services and refer all clinical and case-specific questions to other staff members as needed.
    • Schedules appointments for clinicians to optimize patient satisfaction, program productivity, and most effective use of each clinician's time.
    • Scans client documentation into the electronic health record.
    • Maintains the reception area in a neat and orderly condition.
    • Assists clients with insurance papers and billing questions.
    • Opens and sorts office mail.
    • Assists with program and building supply inventory and submits purchase lists as requested.
    • Assists with AKAIMS data entry and other administrative tasks as requested.
    • Helps facilitate monthly fire drills, semi-annual facility inspections, and other safety-related duties as requested.
  1. Intake Duties:
    • Helps new and returning treatment clients complete intake documentation and schedule assessment appointments according to current program protocols and priority needs.
    • Starts client profiles in the electronic health record and updates contact information and other demographic information as needed.
    • Coordinates with referral providers, treatment agencies, and other organizations/ agencies to obtain appropriate collateral documentation to ensure accurate assessments.
    • Provides information about GHS services and treatment options to referral providers and other community members.
    • Helps facilitate referrals to other treatment providers and community services when necessary.
    • Maintains accurate and confidential client records.
    • Offers support and guidance to clients and their families during the intake process.
  1. Billing Duties:
    • Confirms that all billing codes and places of service are correct on treatment progress notes.
    • Submits insurance claims through the Electronic Health Record (Therapy Notes).
    • Checks Medicaid eligibility for all active treatment clients on a monthly basis.
    • Prints monthly statements for self-pay GHS residents and sends to Case Managers.
    • Prints and mails out monthly statements for self-pay community clients.
  1. Behavioral Health Team Responsibilities:
    • Participate in GHS emergency procedures during building or campus events: call 9-1-1and CRC (security) staff, cooperate with EMS and police, assist other staff members with building evacuation and emergency protocols, and document all incidents within 24 hours of finding out about an event.
    • Participate in weekly team meetings and other staff meetings as assigned.
    • Complete all assigned training on time.

Required Skills/Abilities:
  • Personality and demeanor to deal with the public and clients with a wide range of substance use and mental health challenges.
  • Ability to stay organized and manage multiple tasks with frequent interruptions.
  • Capacity to share an office in close quarters with the other BH Receptionist.
  • Office skills such as typing, filing, and scanning.
  • Ability to quickly learn the use of an electronic health record system.
  • Ability to protect confidential client information.
  • Proficiency with Microsoft Office programs.
  • Comfortable using and helping others operate computers and tablets.
  • Be an active listener and good communicator with clients, coworkers, and community members.
  • Excellent professional boundaries and ability to operate within the scope of practice as a non-clinical service provider.
Education and Experience:
  • High school graduate or equivalent required.
  • Experience working as a receptionist or administrative assistant preferred.
  • Experience with Medicaid or third-party insurance billing preferred.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must pass the Department of Corrections and Department of Health background checks.
  • Must have a current, valid State of Alaska driver's license or ID and be insurable by GHS' auto insurance provider.
  • Must pass a urinalysis drug screening upon hire.
