Primary Purpose of Position: The Administrative Specialist II reports to the Executive Director as his personal secretary and supports his communications to the Battleship NORTH CAROLINA Commission. This position supports alignment with legal obligations such as ethics training, posting public meeting announcements; preparing and transcribing meeting minutes.
Secondary responsibilities include serving as the Battleship HR Liaison to DNCR-HR preparing job advertisements, new hire packages, separations and all other HR functions. Tertiary responsibilities include general office management, ensuring all office equipment is functional and ensuring that resources needed are maintained efficiently and in productive operations.
Key Responsibilities include but are not limited to: - Support communications between the Battleship Executive Director and Battleship Commission
- Track mandated training requirements of the Battleship Commission such as ethics training and maintaining records of compliance
- Organize Commission meetings to include preparing public notices, minutes, agendas briefings, and motions
- Serve as the HR Liaison between the Battleship and DNCR HR preparing all new hire and separation packages. Stay current on all HR forms and processes and maintain communication with DNCR HR technicians
- Serve as front office manager ensuring all office equipment such as copiers and printers are operational
- Must have strong verbal communication skills at the executive management level
- Must be able to draft executive correspondence in a clear, concise and grammatically manner
- Must be able to focus on verbal and written communications and properly respond to detailed tasks.
- Must have strong time management skills and be able to meet deadlines
- Must be able to manage a wide range of administrative projects, some research required and acquire knowledge to complete
- Must be able to multi-task and gain knowledge to overcome unique challenges
- Maintain confidential documents, information and communications
- Event coordinator for meeting setups and venue management
- Must be able to transcribe minutes during meetings and prepare minutes for approval by the Commission at subsequent meeting
Position/Physical Requirements: - Must be able to traverse steep stairs enroute to assigned workspace and work in cramped spaces.
- Must be able to work Monday - Friday 8am to 5pm with 1 hour lunch break.
- Must be able to work some evenings and weekends and Memorial Day.

Qualified candidates must have or be able to: - Demonstrated experience as an executive assistant and/or office manager.
- Demonstrated experience in Human Resources and/or personnel functions.
- Must be proficient with MS Office Outlook, Word and Excel or comparable software.
