Job Title: Banquet/Special Events Manager

Department: Food and Beverage

Reports To: F&B Director and/or F&B Outlet Manager

JOB SUMMARY

In charge of the banquet service function in the club. Assists with all ALGCC Golf tournaments and Member Summer/Winter parties and events.

Promotes the club's facilities for private banquet, business, and social events.

JOB KNOWLEDGE, CORE COMPETENCIES AND EXPECTATIONS
  • Prior experience in catering or banquet services within the Private Club setting.
  • 1-2 years of management or supervisor experience.
  • Degree in Hospitality or similar profession preferred.
  • Working knowledge of Accounting and Point of Sales and Shift Manager systems.
  • Strong interpersonal and organizational skills.
  • Polished, professional appearance and presentation.
  • Manage stress and time.
  • Willing to work weekends, evenings, and holidays.
  • Ability to work both member and member sponsored events
  • Ability to maintain a high-level employee team.
  • Effective communication through all department levels and clubhouses.
  • Knowledge of and ability to perform required role during emergency situations.
PRIMARY RESPONSIBILITIES
  • Create ALGCC banquet package for member and member sponsored events with complete pricing for rooms, service equipment, AV requirements and services.
  • Understands that BEOs are contracts between ALGCC and member and as such all must be signed and authorized by both parties.
  • Maintains Banquet Deposit records and provides Controller with updated report at month end.
  • Assist with ongoing promotion of ALGCC facilities to various member demographics.
  • Inventory all current banquet equipment. Update monthly.
  • Work with Executive Chef and F&B Director and F&B Outlet Manager create banquet menu options and pricing.
  • Creates detailed BEOs for all events in club and gets copies to all involved parties in a timely manner. BEOs should be distributed upon date of reservation.
  • Attach to BEOs a detailed diagram for room set ups.
  • Ensure set up, execution and management of all BEOs
  • Supervise set up for all banquet events.
  • Prior to events hold pre-function meeting with all staff involved with event and perform a thorough walk through to ensure everything is ready to go.
  • Handle member and guest complaints professionally to reach a quick resolution satisfactory to both parties.
  • At conclusion of all events ensure rooms are returned to designated room setup, all banquet materials are cleaned and properly stored, and banquet work areas are cleaned and restocked for next event.
  • Complete tip allocation and closing paperwork at conclusion of all events.
  • Assist in hiring, training, and managing banquet staff.
  • Work with Food and Beverage Director and F&B Outlet Manager to schedule Banquet Staff for events. Scheduling requests require a two-week notice.
  • Together with team, work to ensure a positive member/guest experience
  • Maintain open, positive communications with kitchen management and Food and Beverage Director and F&B Outlet manager.
  • Be visible at all events and able to quickly correct any deficiencies in food, service, or room accommodations.
  • Assures the neatness, cleanliness, and safety of all banquet areas
  • Assumes closing manager duties if event lasts longer than ALGCC dinner service.
  • Participates in scheduled staff and management meetings.
  • Ensure clear communication for room usage throughout the club is readily available for members and continuously updated.
  • Conducts after-event evaluations to improve quality and efficiency of banquet functions.
  • Ensures all appropriate charges are billed correctly to each event following established club accounting guidelines.
  • Coordinate daily member room usage to include commission meetings, committee meetings, card room use, and other club organization facility needs.
  • Ensures proper set and quality of service to all commission, committee, card groups, and other member groups using club facilities.
  • Creates schematic and directs club seasonal decorations. Ensures proper storage of all club decorations.
  • Performs other tasks as requested by the General Manager.
SUPERVISORY RESPONSIBILITIES
  • Banquet staff to include Servers, Bartenders, Bussers, Hosts
LICENSE AND SPECIAL REQUIREMENTS
  • Food Safety Manager Certification
  • Alcohol Server Certification
OTHER REQUIREMENTS
  • Must be able to reach, bend, stoop, stand and lift up to 40 pounds.
  • Must be able to handle hot and cold interior and outdoor conditions.
  • Independent mobility throughout the clubhouse.
  • Interact positively with supervisor, management, coworkers, members, and guests to promote a team effort and maintain a positive and professional environment.
  • Seek out new and innovative ways to meet, and respond to, the needs and demands of an ever changing, diverse membership.
  • Become proficient in Outlook, Word, Excel, Jonas, and Shift Manager
  • Maintain a current driver's license.
  • Full Time employment requires a commitment of 2080 hours annually.
