Title: Assistant to the Athletic Director
Reports To: Athletic Director
Status & Classification: Full-Time, Salary, Non-Exempt The Administrative Assistant to the Athletic Director provides essential clerical and organizational support to the high school athletic department. This position plays a vital role in maintaining effective communication, ensuring compliance with school and state athletic regulations, and assisting in the smooth coordination of athletic programs, events, and daily operations.
Essential Functions - Assist the Athletic Director with daily administrative tasks, scheduling, and communications.
- Answer incoming phone calls, as needed; answers questions, resolves issues, takes messages, forwards calls to appropriate parties.
- Coordinate logistics for athletic events, including facility reservations, transportation, payment of officials, and controlling ticketing links.
- Prepare and distribute team schedules, event flyers, and announcements to students, parents, and staff.
- Track and manage athletic budgets, requisitions, and purchase orders for equipment and uniforms.
- Serve as the point of contact for parents, coaches, and vendors regarding athletic matters.
- Cross-communication between multiple school departments.
- Organize banquets, awards ceremonies, and seasonal recognition events.
- Perform other duties as assigned by the Athletic Director.
Qualifications - High school diploma or equivalent required; additional education or training in office administration preferred.
- 3-5 years of administrative experience, ideally in a school setting.
- Strong organizational, interpersonal, and multitasking skills.
- Proficient in Microsoft Office, Google Workspace, and data management systems.
- Ability to handle confidential information with discretion.
- Flexibility to work occasional evenings or weekends for school sporting events.
- Familiarity with high school athletics programs and regulations is a plus.
Physical Requirements and Work Environment - Regularly sit, talk, hear and visually intercept visitors.
- Be able to occasionally lift up to 30 lbs.
- Regularly use close and distance vision.
- Work at a desk and computer screen for extended periods of time.
- Turn, bend, reach and occasionally use a ladder.
- Work in a traditional climate controlled office environment.
