Position Purpose

Associate Project Managers (APM) serve a critical role to support multiple project teams within Project Management. This job is documentation heavy with a focus on creating Bidding and Proposal Documents. APM's will work closely with Project Managers, Project Designers, and Estimators and are expected to be heavily involved in the organization of project information and paperwork to support multiple Project Managers at a given time. This position is intended to not only serve as a critical role to support the project team within Project Management, but also to be a training ground for future growth opportunities within Project Management/the organization.

Essential Responsibilities/Accountabilities

APMs are generally expected to spend approximately 85% of their time performing as an Associate Project Manager for active projects or bidding, 10% of their time contributing to organizational and departmental improvements, and 5% towards continuing education. Within that, to support and participate in Project delivery, APMs may travel approximately 30% of their time.
  • Project Management
  • Work closely with Project Managers and Senior Project Managers to ensure all facets of assigned projects are actively managed.
  • Ensure internal tracking systems are kept up to date on all assigned projects.
  • Participate in internal and external communication of Project status and progress.
  • Participate in the management of final deliverables, ensuring TAIT quality throughout delivery.
  • Risk monitoring and delay management.
  • Bidding & Development
  • Participate in translating Client needs into "TAIT language".
  • Ensure that the Client's vision is considered throughout the Bidding phase.
  • Participate in drafting Project Proposals and Quotes
  • Participate in the development of creative and technical solutions.
  • Participate in cost estimates and determine contingencies.
  • Participate in pricing and payment schedule discussions internally.
  • Commercial, Contractual & Legal
  • Understand the Project's commercial terms as outlined in the contract, along with contractual & legal relationships formed between TAIT and the project client
  • Participate in ensuring TAITs duties & responsibilities are properly executed
  • Participate in ensuring the client executes their duties correctly and, where necessary, ensure TAITs interests are protected.
  • Project Finances & Budgets
  • Plan cashflow schedule according to proposals and contracts
  • Participate in maintaining payment schedule and invoicing
  • Participate in the development of "As Sold" budget at the outset of a project
  • Participate in maintaining ongoing financial forecasts
  • Monitor and control Project costs and Change Orders (Extras)
  • Raise early flags for potential risks as well as opportunities
  • Organizational Relationships & Participation
  • Develop and maintain good relationships with Project Performance and Operations groups
  • Proactive, open, and transparent communication
  • Attend (and/or organize) regular check in meetings
  • Participate in identifying who should be "around the table" for strategic conversations
  • Participate in resolving challenges, conflicts, or disputes within a Project or between competing Projects
  • Attend global and regional "All Hands" and similar organization meetings and gatherings
  • Stay up to date on time clocking, expense report submittals, and other administrative tasks
  • Continuous Improvements
  • Identify opportunities for minor and major improvements in the Project Process
  • Participate in departmental and organizational initiatives.
  • Participate in "Lessons Learned" discussions.

Minimum Qualifications
  • HS Diploma/ GED, 3+ years' experience in Entertainment Industry or Project Management
OR Bachelor's degree in Project Management, Engineering, Construction Management, Technical Theatre or Live Event related field
  • The ability to prioritize tasks and meet deadlines in a fast-paced and agile environment
  • Excellent communication and interpersonal skills, with a customer service-oriented mindset
  • Strong knowledge of Microsoft Office including Word, Excel, PowerPoint
  • Ability to be in office Monday - Friday, with travel to job sites up to 30%
Preferred Experience
  • Project management methodologies (e.g. Agile, Waterfall)
  • Familiarity with following software:
  • Project scheduling software (e.g. MS Project, Asana)
  • Content Management System (e.g. Box, SharePoint, Google Drive)
  • Budget management and analysis (e.g. Power BI, Tableau)
  • Budget management principles
  • Familiarity with manufacturing or fabrication processes and principles
Working Conditions and Physical Effort

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is required to frequently walk, bend, climb, push, pull, twist, squat, stoop, and kneel each day. Specific requirements are:
  • Must be able to stand for extended periods of time.
  • Must be able to lift or move equipment within material handling guidelines.
  • Must be able to carry equipment within material handling guidelines.
Work conditions of the role are:

Work conditions may involve moderate exposure to unusual elements such as dirt, dust, fumes, unpleasant odors, and/or loud noises.
  • Work environment involves some exposure to hazards or physical risks which require following basic safety precautions.
  • Must be able to wear and properly utilize appropriate personal protective equipment (PPE) to work within or visit areas where required. This includes safety glasses, reflective vest, ear plugs, steel-toed shoes, and other PPE as required by the location.
