JustinBradley's client, a leader in payment processing, is seeking a highly organized and experienced Travel Coordinator to support top executives in its People & Administration division. This opportunity offers a front-row seat to support some of the most senior leaders at a Fortune 500 company. It's an ideal position for a polished, experienced professional who thrives in high-stakes environments and excels in delivering seamless executive support. This candidate will be working directly with the Chief People Officer, the Senior Fellow (former CPO), and the Vice Chair (former CAO). The ideal candidate will bring advanced travel coordination and project management experience, a proactive mindset, and the discretion necessary to support high-level leaders.
Responsibilities:
- Coordinate complex domestic and international travel arrangements, including flights, hotels, and ground transportation.
- Collaborate with the Chief of Staff and Senior Executive Assistants to build and optimize detailed executive travel itineraries.
- Manage bookings through the company's travel provider, handling logistics and troubleshooting as needed.
- Ensure executives are equipped with proper travel documentation, including passports and visas.
- Monitor and manage usage of corporate travel credit cards, loyalty programs, and frequent flyer accounts.
- Build strong relationships with key internal stakeholders to ensure smooth communication and alignment.
- Maintain thorough records and provide high-touch, white-glove support for all travel needs.
- Remain flexible and available to accommodate executive schedules, including early mornings or after-hours coordination when required.
Requirements:
- Advanced competency in executive travel coordination and logistical support.
- Proven experience managing multiple, complex itineraries in a high-pressure, fast-paced environment.
- Exceptional organizational skills and unwavering attention to detail.
- Strong project management experience with the ability to juggle priorities and adapt quickly.
- High level of discretion, sound judgment, and a proactive, solution-oriented attitude.
- Excellent interpersonal and communication skills, with the poise to support senior leadership in an executive office setting.
- Ability to work on-site five days a week in Purchase, NY; remote work is not available for this role.
- Prior experience with corporate travel tools and executive assistant responsibilities is highly desirable.
