Job Description: This is a full-time, 12-month position supporting the Head of Upper School and serving as the Registrar for grades 9-12. The Assistant to the Head of Upper School is responsible for managing the day-to-day operations of the Upper School Office, supporting faculty and families, maintaining student records, overseeing attendance and scheduling systems, coordinating Upper School events, and facilitating communication across the division. The ideal candidate is highly organized, maintains a warm and professional presence, and excels in a dynamic, fast-paced school environment.


Qualifications/Skills:

  • Experience in an administrative or office support role, preferably in an educational setting
  • Excellent organizational, communication, and interpersonal skills
  • Ability to manage multiple priorities and maintain confidentiality
  • Proficiency in Google Suite, Microsoft Office, and student information systems (Veracross experience preferred)
  • Familiarity with academic calendars, school communications, and event logistics
  • Ability to work collaboratively with students, faculty, parents, and administrators
  • Bachelor's degree preferred

Duties:

  • Provide administrative support to the Head of Upper School and serve as the primary point of contact for the Upper School Office
  • Maintain and update student records, including report cards, transcripts, scheduling, attendance, and permanent files using Veracross
  • Coordinate daily and monthly Upper School calendars, events, communications, and logistics
  • Communicate with parents, faculty, students, and administrators regarding schedules, events, conferences, and school operations
  • Oversee daily student attendance and follow up with families as needed
  • Coordinate the purchase and inventory of instructional materials and textbooks
  • Order and maintain office and classroom supplies for Upper School faculty
  • Support the fiscal management of the Upper School by processing expenses and submitting documentation to the Business Office
  • Assist in planning and executing major events such as graduation, divisional awards ceremonies, Honor Society inductions, and student recognition programs
  • Coordinate logistics for faculty professional development including travel, lodging, registration, and reimbursements
  • Maintain organized records of communications, field trips, bus service, and school projects
  • Support substitute coverage logistics and collaborate with other divisional assistants as needed
  • Serve as Registrar for Upper School:
  • Send official and unofficial transcripts as requested
  • Maintain transcript records for all former Upper School students
  • Coordinate with College Advising and divisional teams to manage records and transcript requests
  • Assist with special documentation (e.g., apostille, official seals) as required
  • Perform additional duties as assigned by the Head of Upper School or Head of School
