The Assistant to the Benelux Managing Director will play a pivotal role in supporting our Cluster Manager and Sales Director for the Benelux region, ensuring the smooth execution of key priorities and daily operations.
Your Role
As an Assistant to the Benelux Managing Director, you will provide high-level executive support to the Benelux Managing Director, handling administrative coordination, complex scheduling, meeting organization, and confidential correspondence. You will work closely with the Personal Assistant to the CFO and Sea Logistics Director and liaise with senior stakeholders across different functions to ensure smooth communication and alignment.
Your Responsibilities
- Provide comprehensive administrative and executive support to the Benelux Managing Director.
- Manage the executives' calendars, ensuring efficient prioritization of meetings and commitments.
- Coordinate and arrange travel, accommodation, and logistical support for both executives.
- Organize and facilitate high-level meetings, strategic discussions, and executive events, ensuring all necessary materials and follow-ups are in place.
- Prepare reports, presentations, and correspondence with accuracy and discretion.
- Handle confidential information with professionalism and integrity.
- Act as a key point of contact between the Benelux Managing Director and internal/external stakeholders.
- Support the tracking of action items and key initiatives to ensure timely follow-up and execution.
- Identify opportunities to enhance efficiency in executive support processes.
Your Skills and Experiences
- 3-6 years of experience in a management assistant, executive assistant, or similar role supporting senior leadership.
- Exceptional organizational and time-management skills, with the ability to prioritize effectively.
- Excellent command of English is required; Dutch is a plus.
- Strong interpersonal and communication skills, with a professional and service-oriented approach.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Ability to work independently, while maintaining a collaborative mindset.
- High level of discretion and confidentiality in handling sensitive information.
- Experience in complex scheduling, travel coordination, and stakeholder management.
- A proactive, solution-oriented attitude with a keen eye for process improvements.
