Assistant Property Manager - Job Description Location: 3030 Old Ranch Parkway, Seal Beach, CA
Reports To: Senior Property Manager
Classification: Part Time, Non-exempt
Position Summary: The Assistant Property Manager supports the daily operations of a Class A commercial office building, ensuring exceptional tenant service, financial accuracy, and operational efficiency. This position plays a key role in administrative functions, tenant relations, vendor coordination, and financial tasks within the Yardi property management system.
Key Responsibilities: - Tenant Relations & Administration
- Serve as a primary point of contact for tenant service requests and general inquiries
- Coordinate tenant move-ins, move-outs, and onboarding procedures
- Track and follow up on open work orders and service requests to ensure timely resolution
- Maintain accurate tenant contact records and lease abstracts
- Apply tenant cash receipts and reconcile daily bank deposits using Yardi
- Enter accounts payable invoices into Yardi, ensuring proper coding, approvals, and timely processing
- Assist with rent collection, late notices, and lease compliance follow-ups
- Support monthly financial reporting and variance analysis
- Vendor & Operations Support
- Coordinate with vendors for building services, ensuring compliance with service contracts
- Maintain updated vendor insurance and contract documentation
- Assist with obtaining proposals and quotes for services or maintenance projects
- Conduct regular inspections of common areas and report findings to Property Manager
- Administrative & Compliance
- Maintain organized files for leases, correspondence, and building operations
- Support budget preparation by gathering vendor estimates and operational data
- Ensure compliance with property management best practices and safety protocols
Qualifications:
• Associate's or Bachelor's degree in Business, Real Estate, or related field preferred
• 2+ years of commercial property management or real estate experience
• Proficient in Yardi Voyager (or similar property management software)
• Strong financial acumen with experience handling AP/AR functions
• Excellent communication, organizational, and multitasking skills
• Knowledge of commercial leases and building operations is a plus
