Position Description:
The Assistant Commercial Property Manager is responsible for supporting the property management team in the daily operations and administration of commercial and healthcare properties. This role ensures the smooth execution of property management functions, including tenant relations, vendor coordination, financial administration, and community engagement. The Assistant Commercial Property Manager plays a key role in maintaining the high standards of NTS Development and enhancing the overall tenant experience.
Role and Responsibilities:
- Administrative & Tenant Relations:
- Manage administrative tasks and provide general assistance to property managers.
- Assist property managers in communicating with vendors on various projects.
- Perform regular property inspections to monitor conditions.
- Assist in overseeing a property (or portfolio) or maintenance associations, while supporting the property management team in fulfilling obligations outlined in the property management agreements.
- Update and maintain key documents, including the maintenance on-call book and emergency contact list.
- Financial and Budget Management:
- Assist the property management team with the development and implementation of operating and capital budget(s).
- Assist in preparing monthly ownership reports, including variance analyses, executive summaries, aging reports, and other key financial and operational documents.
- Review and approve invoices utilizing Avid Payment Solutions.
- Community Engagement & Events:
- Coordinate and procure welcome gifts for new tenants to enhance the tenant experience.
- Assist in organizing maintenance team luncheons focused on ongoing education and professional development.
- Plan, manage, and facilitate holiday gifting initiatives for vendors and tenants within the commercial and healthcare portfolio.
- Develop and distribute a monthly newsletter to foster engagement and strengthen the campus community.
- Qualifications & Skills:
- Bachelor's Degree preferred; a minimum of 1-year of experience in property management, administration, or a related field ideal.
- Strong organizational, multitasking, and problem-solving skills with attention to detail.
- Excellent communication, interpersonal, and vendor coordination abilities.
- Proficiency in Microsoft Office Suite and property management software.
