General Summary

The Assistant General Manager in conjunction with the General Manager oversees the management and operations of a portfolio of properties and manages all property manager's activities within the region including responsibility to meet owner requirements relative to revenue, capital, and operating expenditures. This oversight focuses on successful property outcomes in the areas of tenant satisfaction, occupancy, property maintenance, marketing, and property financial performance.

Essential Job Functions/Responsibilities:
  • Managing metrics related to Tenant Relations with the Property Manager and defining plans depending on metric trends. Intervening in complaints and concerns escalations and reviewing and approving event plans.
  • Work with the leasing department to ensure apartments are made ready in a timely manner and in a condition consistent with optimizing leasing outcomes.
  • Review apartment preparation, move-in and move-out metrics (apartment turn statistics) and provide feedback to improve the process that feeds into availability and therefore revenue. Ensure turn times are consistent with property goals. Ensure that charges are accurate and billed on a timely basis.
  • Escalate billing issues and/or requests to changes to resident ledger. Where required, review and edit new leases for billing accuracy, completing billing changes during tenancy, and ensure that rent changes month to month are not out of the ordinary.
  • Review or support AR Aging and Legal Pipeline. Understand receivables trends and support strategies to manage appropriate to the trend. For example, if AR aging increases, work with collections and legal teams to review profile of those in delinquency and translate to refined financial approval procedures. Aggressively support the legal pipeline to conclusion to feed units back into occupancy process.
  • Create property visit calendar focused on property walk throughs that feeds decision making relative to curb appeal, safety, current budget, and 5-year capital plan. Ensure that all properties have clear Policies and Procedures and schedules to maintain building cleanliness and cub appeal. Ensure all major building systems (Elevators, Sprinklers, HVAC, Boilers, Compactors) are inspected regularly and in proper working order.
  • Developing, managing, and adhering to each property's budget in the portfolio and managing that budget at both the portfolio and property level. Focus is to meet owner financial expectations for the portfolio and to actively communicate variations to approved budget and develop strategies for financial correction, where necessary.
  • Maintain knowledge and create monitoring infrastructure to ensure meeting compliance and regulatory requirements that negates penalties for the portfolio. Also, create regular monitoring program relative to applicable regulatory compliance and create monitoring and reporting plans.
Qualifications:
  • Bachelor's Degree (Business/Finance/Accounting)
Skills/Experience:
  • Excellent oral and written communication skills
  • Experience in a demanding environment with ability to work independently or in a team environment, excellent relationship skills to work in a matrixed environment.
  • Previous market rate Property Management experience.
  • Ability to adjust to changing priorities.
