Job Description Summary: The Assistant Director of Risk Management supports Chapman University's division of Enterprise Risk and Safety by way of assigned responsibilities in the areas of insurance and risk management. This position reports directly to the Vice President for Enterprise Risk and Safety. Key responsibilities include management and oversight of the portfolio of insurance policies purchased by the University. This includes overseeing the coordinator and managing the internal collection of data from individuals and departments throughout the University in connection with the completion of applications for the annual renewal of policies. Responsibilities include the validation of data, and coordination with the University insurance broker on all submissions. Lines of coverage include but are not limited to commercial property, general and professional liability, commercial auto, workers' compensation, international, cyber liability, environmental impairment liability, and miscellaneous other lines of coverage. Additionally, supports the Vice President of Enterprise Risk and Safety in the development of an Enterprise Risk Management program for the university.Other responsibilities include the processing of requests for Certificates of Insurance, and the review of Certificates of Insurance of outside suppliers to determine the degree to which they meet University requirements. An element of this process includes the review of contract terms to assure consistency and compliance.Additional responsibilities also include the review of incident reports and the processing of claims with the appropriate insurers, assuring that the University completes an appropriate recovery of the losses. Works collaboratively with the EH&S Assistant Director reviewing incident/claims reports and making recommendations on risk management strategies that are designed to reduce future losses. An ability to provide consultation and expert advice to management on risk management issues is required. The position will supervise full-time Risk Management staff and student workers, as needed.
Responsibilities: - Conduct an annual review of the schedule of insurance policies, including a review of renewal policies for errors or omissions. Make recommendations for correction, addition, or deletion. Verify the accuracy of all terms and conditions of renewal policies.
- Assist the Vice President of Enterprise Risk and Safety with data necessary for the annual analysis and report of transferable risk.
- Provide consultation regarding contracts entered into by the University with various outside entities and appropriate contract language consistent with the University's risk tolerance and insurance policies.
- Maintain oversight of all incidents and claims that affect University property and liability insurance policies.
- Respond to incident reports and oversee the internal system of documentation. As well as make recommendations as appropriate to reduce or eliminate future losses with EH&S.
- Collaborate with VP ER&S and insurance Broker Claims Advocate to reduce loss reserves as appropriate.
- Direct the Certificate of Insurance process for both incoming and outgoing certificates.
- Coordinate all data collection necessary to purchase new and all renewal insurance policies and programs successfully. Maintain contact with the broker on additional underwriting data needs and solicit essential data from the University community.
- Develop and maintain a system for timely and accurate renewal and updating of all insurance policies, as well as recording losses, claims, insurance premiums, and other risk-related costs and information.
- Identifies, collects, and analyzes exposure information.
- Development and implementation of risk control programs and monitoring their impact.
- Design and conduct risk management training sessions for operational units as appropriate, as well as provides risk management assessment and consultation.
- Advise management of current trends in risk assessment in higher education.
- Recommend improvements or modifications in current methods of operations.
- In consultation with the VP ER&S manage Department Budget.
- Oversee the University Property and Vehicle schedules, using existing software, and periodically assess the accuracy of identified values for buildings and contents as well as vehicles
- Maintain financial projections necessary to adequately budget for insurance policy costs. Coordinate with Financial Services and the Budget Office to assure that premium costs are allocated appropriately to the relevant budget year.
- Through the VP, manage the payment of all insurance premiums throughout the year, including change requests, using the University PeopleSoft system.
- Collaborate with Transportation Services on the University Authorized Driver Program.
- Create and maintain a consolidated mechanism for tracking and evaluating Total Cost of Risk (TCOR) for the University, to include tracking of the cost to the University of Deductibles and self-insured retention under liability, property, auto and other miscellaneous policies as well as other loss expenses not covered by insurance.
- Maintain departmental policies and procedures on Departmental Website.
- Maintain appropriate training programs on the Department's Learning Management System that are consistent with other assigned responsibilities.
- Work with VP ER&S and HR to hire and manage Risk Management staff and student workers. As well as arrange or provide training in all University and departmental software and procedures.
- Participates and provides leadership and coordination on a variety of institutional committees as directed.
Required Qualifications: - Demonstrated proficiency, by education and/or related professional work experience, of commercial lines insurance coverages, policy forms, underwriting processes, and claims submission/management processes.
- Ability to understand basic contract language as relates to insurance requirements and ability to evaluate Certificates of Insurance and policy documents/forms to assess coverages and exclusions.
- Bachelor's degree from an accredited college or university.
- 4 or more years of progressively responsible experience, that is directly related to the duties and responsibilities assigned.
- Professional Insurance Designation such as Associate in Insurance (AINS), Certified Insurance Representative (CISR), or Certified Insurance Counselor (CIC).
- Professional Risk Management designation such as Associate in Risk Management (ARM) Designation, or Certified Risk Manager (CRM).
- Ability to demonstrate tack and diplomacy and maintain a high level of confidentiality.
- Strong planning and organizational skills to prioritize multiple projects under pressure and shifting demands and to meet critical deadlines.
- Ability to handle and resolve political and practical concerns relating to the management of risk.
- Strong analytical and problem-solving skills with experience in gathering and collecting data, reasoning logically, drawing valid conclusions, and making effective recommendations to management.
- Strong written communication skills to prepare clear, concise, and grammatically correct business correspondence and documents.
- Demonstrated communication and interpersonal skills to interact with groups of diverse individuals at all organizational levels, both inside and outside of the University
- Proven ability to exercise initiative and work independently, as well as within a team setting.
- Ability to develop and maintain recordkeeping systems and procedures. Ability to develop and deliver training presentations and workshops; utilize outside training resources.
- Computer skills in the use of spreadsheet, word processing, database, presentation, electronic mail, internet applications, preferably of Microsoft Office suite software or software related to area of responsibility.
- Technical skills to learn and use enterprise systems needed for the position.
