General Description

The Arts Programs Coordinator is responsible for planning, developing, coordinating and implementing arts and culture-related youth programs, special events, and art programs for citizens of all ages for the City of Casselberry. The Arts Programs Coordinator performs work independently within established policies and procedures.
Examples of Essential Functions

  1. Coordinates and implements arts and cultural programming, summer programs, events and activities for the City, seeks out grants, funding, sponsorship opportunities, and helps market programs and events. (95%)
    1. Researches, develops and coordinates arts and cultural programs; conducts surveys and evaluates effectiveness of programs
    2. Seeks out and applies for grants and funding opportunities for the City's arts and cultural initiatives.
    3. Actively networks, connects, and maintains relationships with sponsors and partners who have a shared vision and passion for the development of the arts and culture in Casselberry.
    4. Works closely with the Arts and Marketing Supervisor daily, making sure the needs of all gallery spaces are met, and the schedule is being maintained.
    5. Assists with graphic design and marketing of programs, events and activities in all areas.
    6. Partners with community members and secures sponsors for community-based events/arts and cultural programs.
    7. Assists in coordinating and implementing art exhibitions and programming.
    8. Maintains records and files, prepares reports, records daily operations, inspections and maintenance in appropriate logs.
    9. Assists in the set-up and clean-up of recreation events and programming.
    10. Maintains a comprehensive calendar of events within the City.
    11. Responds timely to customer requests and work orders.
    12. Creates and maintains program offerings in CivicRec.
    13. Oversees rentals and negotiates contracts for use of facilities with outside entities.
    14. Collects fees and generates reports in a timely fashion.
    15. Serves as a liaison between the Recreation and Cultural Arts Division and community groups and non-profit organizations.
    16. Identifies gaps and opportunities for arts and cultural programs, facility needs, and other related initiatives.
    17. Assists with art related activities and events
    18. Assists in all areas with events and marketing.
    19. Oversees all areas for Casselberry camp programs including hiring of camp staff; Recruit and screen volunteers from outside organizations
    20. Maintains log of City's public sculptures, including scheduled maintenance and acquisitions/deacquisitions.
    21. Maintains the inventory for all galleries including classroom spaces.
    22. Purchases and coordinates pickup/delivery of all supplies.
  2. Additional Duties and Responsibilities (5%)
    1. Performs all duties and responsibilities in a manner consistent with the core values of the City, and consistent with City and Department policies.
    2. Follows safe working practices and has a working knowledge of safety practices and procedures.
    3. Develops, recommends, and implements the fiscal budget process of assigned division for upcoming year(s). Monitors budget, investigates variances and reports on findings to supervisor.
    4. Adheres to laws, regulations and policies of the City and of the assigned department. Follows instructions provided by Recreation and Cultural Arts Manager, Department Director or their designee.
    5. Participates in department meetings, staff meetings and other related activities.
    6. Maintains, preserves, retains and disposes of public records according to FS Chapter 119.
3. Emergency Management Role
  1. Participates as a member of the City staff as required to take action in the event of an emergency.
  2. Acts in the assigned role to support the City in disaster preparation and/or disaster recovery efforts as described in the City of Casselberry Emergency Management Plan, assigned by supervisor or designee.

Typical Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  1. Education and Training:A High School Diploma or G.E.D. is required. A bachelor's degree or higher is preferred.
  2. Experience:A minimum of one (1) year experience in non-profit/grant writing, and three (3) years experience in arts and cultural event planning or related field is required. related field, is required. A comparable combination of education and experience may be considered.
  3. Certificates, Licenses and/or Registrations Required:Must possess and maintain a valid Florida Driver's license. A Motor Vehicle Record (MVR) check will be made to determine acceptance of past driving record.
  4. Security Clearance: Florida Department of Law Enforcement background clearance.
E. Knowledge, Skills and Abilities:
  • Knowledge and understanding of the Adobe Suite (photoshop and illustrator)
  • Knowledge of local, state and federal regulations affecting work.
  • Knowledge of departmental rules, policies and procedures.
  • Knowledge of the methods involved in organizing, conducting, promoting, and supervising recreation activities.
  • Knowledge of facilities and materials required to carry out special event programs.
  • Knowledge of marketing and promotion management associated with service-related activities and community involvement.
  • Knowledge and understanding of industry standards for layout and design of various marketing materials for print and social media.
  • Knowledge (basic to intermediate level) of Active Net or similar recreation management software system.
  • Knowledge of safety guidelines for events and recreational activities.
  • Ability to lead and instruct groups of people.
  • Ability (intermediate to advanced level) to utilize Microsoft Office Suite, e.g. Outlook, Word and Excel.
  • Ability to deal with stressful conditions in a calm and professional manner.
  • Ability to establish and maintain effective working relationships with other employees and the public.
  • Ability to operate a motor vehicle.

A. Work Environment: This position performs the duties primarily in an office setting, however, while setting up and attending events work is performed in a field setting. The noise level in the office work environment is moderate; the noise level in the field setting is loud. While in the field setting, this position is also frequently exposed to various weather conditions.
B.Physical Demands: The primary functions require frequent periods of standing, walking, bending, pushing and pulling, time sitting, using hands to handle or feel, and reaching with hands and arms. In addition, this position may be required to occasionally lift and carry up to twenty-five (25) pounds with or without assistance of another person or utilization of lifting equipment. This position is regularly required to use vision, speech and hearing, with or without assistive devices.
C.Equipment/Tools and Technology Used: This position utilizes the following tools and equipment while performing the duties of the job: City vehicle, desk phone, desktop computer, calculator, fax, and printer/peripherals.
D. Employee Infection/Exposure Risk Classification: Category III: Employee performs tasks that do not involve exposure to blood, body fluids or other potentially infectious materials (OPIM). Persons who perform these duties are not called upon as part of their employment to perform or assist in emergency medical care or first aid, or to be potentially exposed in some other way. Tasks that involve handling of implements or utensils, use of public or shared bathroom facilities or telephones, and personal contact such as handshaking are Category III tasks.
