AR and Billing Coordinator

Our Client is a well-established, family-owned swimming pool company in Connecticut. With decades of experience in the industry, they have built a reputation for delivering high-quality swimming pools with exceptional attention to service and craftsmanship. They are rapidly growing and looking to add a Billing Coordinator to the team.

The Billing Coordinator will report to the CFO.



Position Overview

The Billing Coordinator will manage all billing, collection, and job costing for the Renovation Department. This role is responsible for submitting invoices to customers, collecting payment, tracking labor hours and materials used, and managing job costing, aging and other reports. The Coordinator's ability to effectively manage the Renovation Department's day-to-day billing, collection, and cost tracking will contribute to the department's overall success and profitability, as well as enhance our customers' experience with the organization.



Responsibilities:

  • Process signed agreements and set up jobs in ViewPoint Project Management software module
  • Assist Project Managers in issuing invoices and collecting payment for all Renovation Department projects
  • Manage Aging Report and Job Progress reports, and review weekly with Renovation team
  • Follow up with customers via email and telephone regarding outstanding payments due
  • Track and record labor hours and materials used for each active job via Rhumbix field data SaaS platform on a daily basis
  • Review T&M Work Orders with Supervisor each day and close out
  • Monitor daily schedule (project, phase, crew members) to ensure proper time and material tracking for job costing
  • Run job costing reports periodically and review with Renovation Manager to ensure completed jobs are meeting targeted profitability thresholds
  • Support Renovation Manager and Supervisors with additional administrative functions while they are out-of-office and visiting job sites


Qualifications:

  • Minimum of three years of Billing/Accounting experience
  • Industry experience a plus
  • Bachelor's degree preferred; High school diploma (or equivalent) required
  • Prior ERP system experience
  • High sense of confidentiality
