Job Description: The Application Administrator works on-site in the Information Technology Services department at the Hillsdale, Michigan campus, overseeing the management of specific strategic systems used in Hillsdale College's operations. This role focuses on the lifecycle management of these enterprise applications.
The job requires exceptional customer service skills and a deep understanding of enterprise application service delivery, performance management, access management, and support.
We seek an application administrator with five years of experience in an enterprise information technology role, preferably in an academic environment.
This position suits an empathetic, humble individual willing to listen to customers' needs and relate those needs to system configurations/customizations. A commitment to the College's mission is essential.
Essential Job Responsibilities - Application Management
- Be the subject matter expert for ImageNow and Box, maintaining an exceptional understanding of the systems' infrastructure, documentation, and everyday operations.
- Manage user security and roles with a least privilege model that allows users to perform necessary operations while ensuring appropriate access limits.
- Perform quarterly security reviews of user access to ensure proper permissions are maintained.
- Respond to incidents and fulfill service requests within a reasonable service level agreement.
- Identify problems and document root causes, corrective actions, and mitigation steps to prevent issues in the future.
- Determine baseline measures of key system performance and health metrics of the systems to proactively identify and prevent issues.
- Coordinate with Information Technology Services trainers to determine the best methods to help users become proficient with the applications.
- Work with the customers to build a comprehensive testing strategy. Identify the proper times to execute the testing plan and ensure that the testing is complete before moving forward with software updates or changes to the environment.
- Develop a communication strategy that informs users of outages, updates, and maintenance windows. Ensure the communication plan is reviewed and changes are introduced to improve efficiency.
- Vendor Management
- Maintain appropriate levels of engagement with our software vendors to maximize the solution's value.
- Seek user community feedback to craft solutions tailored to Hillsdale College's use of the applications.
- Continually seek learning opportunities within the systems to gain a complete understanding of each system's capabilities.
- Security Management
- Collaborate with the ITS Information Security team and users to properly classify data, identify risks, and implement mitigation strategies to reduce risks to the College's data.
- Ensure appropriate adherence to regulatory compliance relevant to the applications and data they hold ( HIPPA , GDPR , ADA , and others).

- Higher Education IT Experience: Familiarity with IT operations within higher education is helpful
Technical Skills
- IT Service Management Tools: Proficiency in using ITSM tools such as Service Desk or similar platforms
- Experience administering/using document management systems
- Troubleshooting skills with local scanners and other client-side devices
- Enterprise Software: Familiarity with standard enterprise software systems (e.g., SIS , CRM , LMS ) used in higher education
Education and Experience - Bachelor's degree in Computer Information Systems, Management Information Systems, Information Technology, Computer Science, or a related technology discipline is ideal; Candidates with a Bachelor's degree in other disciplines with at least five years of IT experience are also encouraged ideal
