Volt is immediately hiring an AP/AR Admin for a local leading organization in Albuquerque, NM
As an AP/AR Admin you will:
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area and showroom are tidy and presentable
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Order office and other supplies and keep inventory of stock
- Perform other clerical duties such as filing, photocopying, scanning, and faxing
- Create and reconcile monthly credit card expense reports
- Enter and reconcile A/P invoices and identify discrepancies
- Check spreadsheets for accuracy
- Enter vendor and customer data from source documents
- Compile, verify accuracy and sort information according to priorities
- Review data for deficiencies or errors, correct if possible
- Research and obtain further information for incomplete documents
- Verify information and create A/R invoices for clients
- Communicate with clients via email and phone
- Create and provide tax exemption and other forms as needed
- Manage subcontractor binder current insurance, W-9, agreements
- Store completed work in designated locations
- Scan documents in designated locations
- Keep information confidential
- Ensure proper use of office equipment and address any malfunctions
AP/AR Admin Candidates must meet the following requirements for consideration:
- Proven experience as administrative assistant, accounting assistant, data entry or similar role
- Proficiency in MS Office (especially Excel, Word, and Outlook)
- Knowledge of PDF programs and other bookkeeping/data programs (helpful)
- Knowledge of basic bookkeeping procedures
- Customer service attitude
- Direct experience with office equipment (copier, scanner, printer, postage machine)
- Professional attitude and appearance
- Excellent written and verbal communication skills
- Solid knowledge of correct spelling, grammar, and punctuation
- Typing speed and accuracy
- Good math skills and the ability to spot numerical errors
- Attention to detail and problem-solving skills
- Ability to be resourceful and proactive when issues arise
- Multitasking and time-management skills, with the ability to prioritize tasks
- Reliable with patience and professionalism
- Ability to handle sensitive, confidential information
- Additional training or certification in computers or accounting will be an asset
This is a Full time Long term position.
The schedule is Monday-Friday 8am-5pm
Pay for this position is $20-$25 per hour DOE.
