Description
Responsible professional work involving a wide variety of advanced administrative or project support and office coordination for the Wakulla County Animal Services Division. This position is responsible for providing administrative coordination and assistance to the Animal Services Manager and staff. Responsible for maintaining day-to-day office functions, inter-office files, composing routine and complex correspondence, scheduling meetings, answering phones; processing invoices; budgeting; proper record keeping and donation collection and accounting; organizing special activities; and recommending policy and procedures as needed.
Examples of Duties
Day-to-day customer service point of contact. Acts as office receptionist, answers telephone, takes and routes messages. Set up and maintain the filing system. Processes outgoing/incoming and facilitate adoption applications and processing.
Coordinates the fiscal and administrative operations of the Division; coordinates the development of the Department's budget by collecting data for input, researching cost figures, preparing budget justifications and drafting narrative descriptions; produces the budget documents by inputting data, formatting it, preparing illustrative charts and graphs, and compiling the budget document.
Administers the department's budget by monitoring expenditures; performs a wide variety of bookkeeping, recording keeping, and accounting functions which include accounts payable, purchase requisitions, payments and encumbrances, and donation tracking. Assists the Animal Services Manager in the preparation of the annual budget for the Division.
Performs general administrative duties for the Division Manager including a wide variety of general clerical and secretarial work; preparation of agenda items and policies; performs significant portions of professional level assignments, working with professionals requiring knowledge of programs; performs a variety of special projects; represents the department at meetings as required; responds to inquiries for information from the public and other public agencies.
Typical Qualifications
WORK ENVIRONMENT AND PHYSICAL DEMAND
Work is primarily performed in an indoor office setting with extended periods at a computer. Physical effort is needed to lift and carry office materials and supplies. Mobility is needed to attend various meetings and basic communication skills are necessary for frequent telephone usage and one-on-one and group presentations. May occasionally be required to work beyond normal working hours and have direct or indirect contact with various breeds of dogs, cats, and/or livestock. The Administrative Coordinator will work under the direct supervision of the Division Manager.

MINIMUM QUALIFICATIONS:
A bachelor's degree and four years of administrative experience OR high school diploma and six years of administrative/clerical experience. Administrative or clerical experience can substitute on a year for year basis for the required college degree.
