Job Summary
The Advancement Associate for Research and Stewardship is a vital member of the Advancement team, working closely with the Director of the Capital Campaign and Major Gifts and Director of Alumnae Engagement to support the school's fundraising and strategic philanthropic goals. This is a 50% position which requires an onsite presence. This is currently a 12 month position, however, flexibility exists to have it be a 10 month position with no work or pay between
June 15 and August 15 each year.
Key Responsibilities:
Research
- Identify new gift planning prospects and donors and qualifies existing ones to grow and refine the donor pipeline, through research via multiple sources.
- Draft detailed research summaries on prospects to better understand estimated gift capacity, interests, relationship with the school, and philanthropic priorities.
- Provide donor information (profiles, briefings) to aid in meetings and strategy development for events, dinners, and other interactions with important donors and prospects.
- Maintain discretion and confidentiality surrounding prospect, donors, materials and interactions.
Stewardship and Communications
- Assist with communications, such as donor calls, emails, mailings, and invitations.
- Manage stewardship and communications projects from start to finish, including print collateral, annual stewardship reports, invitations, and other initiatives.
- Edit copy for donor communications such as campaign newsletter.
- Secure information or relay requests which may be urgent and confidential in nature.
Database
- Add and update contact information for donors, prospects, and alumnae.
- Track actions in donor records. Experience with Raiser's Edge/NXT and Almabase a plus.
- Generate reports and lists related to fundraising management, events, and constituent relations.
Meeting and Event Support
- In coordination with the Director of Alumnae Engagement and Director of the Capital Campaign and Major Gifts, support donor meetings and events.
- Assist with logistics at meetings and events including the management of outside vendors; requires occasional evening and weekend work.
- Schedule, arrange, and coordinate external meetings, including drafting agendas and presentation materials, recording minutes, and providing follow-up.
Skills
- Exceptional written, verbal, and interpersonal communication skills.
- Advanced organizational, analytical and project management skills with attention to detail.
- Ability to manage multiple projects simultaneously.
- Ability to create, proofread, edit, and oversee communications materials.
- Proficiency with Microsoft Office, Google Suite, and familiarity with database functionality and portal management (prior experience with Raiser's Edge, NXT, Almabase preferred).
- Ability to cheerfully and professionally work on a team with responsibilities to more than one individual
- Minimum of an A.A. with at least two years of prior, relevant experience.

Castilleja uses a competitive salary scale which takes into account the range of experience, education and skill level. The annual equivalent salary for this position ranges from $32,500 to $55,000 assuming a
12 month 50%, part-time position. Physical Requirements:
This position requires the ability to climb stairs, and prolonged periods of walking and standing. Must be able to lift, bend, stoop, reach and lift up to 25 pounds.
