BITCO Corporation is currently seeking an Advanced Administrative Associate to join our Business Services team in Davenport, IA. BITCO provides quality insurance services to special industries including construction, forest products, and oil & gas. This position is eligible for a hybrid work schedule.

Position Summary:

The Advanced Administrative Associate plays a critical role in maintaining the efficiency of the organization through expert-level administrative support, process coordination, and communication management. The ideal candidate is highly organized, detail-oriented, and proactive with exceptional communication and problem-solving skills. Prior experience in the insurance industry is strongly preferred.

Primary Responsibilities:
  • Utilize software to prepare, scan, and index documents and reports.
  • Create and maintain accurate data and records like forms, procedures, and directories.
  • Prepare reports, forms, letters, memos, and other file documentation.
  • Draft, review, and edit correspondence, reports, presentations, and other document.
  • Learn and evaluate new software packages for assignments.
  • Collaborate and advise on projects for user departments and offices.
  • Assist training in the use of applications like presentations, spreadsheets, and databases.
  • Coordinate internal and external communications, including agents, customers and employees.
  • Maintain confidential records and handle sensitive information with discretion.
  • Other administrative duties and projects as assigned.
  • Serve as a backup for the switchboard - answer phone calls in a professional manner and route to the appropriate parties.
Qualifications:
  • Associate's degree preferred, by not required.
  • 4+ years of administrative experience, preferably in insurance, or corporate settings.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with insurance management systems a plus.
  • Strong organizational and time-management skills; ability to multitask in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • High degree of professionalism and integrity.
  • Ability to work independently and as part of a team
Work Environment & Physical Requirements:
  • Must be legally authorized to work in the United States.
  • Frequently sit at a desk or other workstation for extended periods of time.
  • Occasionally lift and carry equipment and/or materials weighing up to 15 pounds.
  • Routinely bend, kneel, reach, see, be mobile, and walk around.
  • Must be able to attend and perform job duties effectively both in-person and virtually, as required by manager.
  • Travel - minimal.
  • Office environment; this position is eligible for a hybrid work schedule, as approved by manager
