Admissions Support Coordinator

The Admissions Support Coordinator provides administrative support to the Admissions team by managing processes, maintaining data integrity, and assisting with reporting and testing functions. This role ensures accuracy within the student database through audits and supports remote testing needs.

Responsibilities

Principal Accountabilities & Deliverables
  • Maintain admissions calendars and send daily reports
  • Send remote Wonderlic links and proctor remote HESI exams
  • Audit admissions data and report findings weekly
  • Identify and implement CRM efficiencies for DOAs and team members
  • Track Zoomifier info session scheduling and support Zoomifier updates in partnership with Marketing
  • Archive monthly start data and meeting notes
  • Take minutes for DOA and support team huddles
  • Support POG collection and transcript processing in absence of a campus Admissions Coordinator
  • Assist with documentation for waitlist programs
  • Maintain up-to-date knowledge of admissions policies and procedures
  • Create agendas and slides for meetings, huddles, recognition events, and conferences
  • Perform monthly audits (Tourtab, observations) and generate the monthly Admissions Scorecard
  • Partner with Broadleaf, CRM Administrators, and Marketing to ensure accurate reporting and system updates
  • Update job descriptions, org charts, policies, and performance slides
  • Support AI tool development and assist with logistics or travel planning as needed
  • Track catalog updates for DOA huddles and prepare quarterly board report content
  • Other duties as assigned

Qualifications

Education/Experience
  • HS Diploma or GED (required)
  • Bachelor's degree in Business or a related field (preferred)
  • Minimum of one (1) year of experience with Campus Nexus and Broadleaf (preferred)
Skills
  • Adept in using CRM systems, generating reports, and identifying process improvements
  • Proficient in collecting, reviewing, organizing, and archiving documents accurately
  • Use multi-tasking skills, meet deadlines, and adapt smoothly to rapidly shifting work priorities and schedules
  • Address sensitive and confidential information in a professional, mature, discreet, and secure manner
  • Intermediate level proficiency with productivity software (MS Office Suite)

Work Environment
  • Work is performed indoors in a climate-controlled environment when on site at assigned company location. Employees must be able to safely ambulate when on company premises.
  • This position is designated as Remote. Employees must meet minimum technical standards for eligibility and participation.
