Position Description

The Admissions Assistant - Reception Services is responsible for processing admissions applications in Salesforce and Jenzabar, reviewing required documents, and assigning follow-up tasks to Admissions Specialists. This position requires attention to detail and the ability to follow department procedures while performing word processing, data entry, and email communication. In addition, this position manages front desk operations, supervises work-study students, and supports admissions tours and outreach, ensuring a welcoming and efficient experience for students and visitors.

Work Environment: This is a full-time position and most of the work to be performed will be done in usual office working conditions on campus. Must be able to work in a multi-tasked environment. Daily attendance is required to meet the needs of students and prospective students. Days and hours of are Monday through Friday and work hours may be variable within a 7:30 a.m. to 4:00 p.m. timeframe. However, they may be times when travel is required or when after-hours is required for events, meetings, trainings, and other responsibilities. These responsibilities may require evenings and weekend hours.

Physical Demands: The duties of this position are sedentary to moderate in nature; however, the employee may have long periods of sitting and/or standing and may need to climb or balance, stoop, kneel, crouch or crawl. Extensive data entry/typing. Sufficient vision and hearing are required to complete the work and interact with students, staff, faculty, and the public. The employee must occasionally lift and/or move 10-25 pounds.
Position Essential Duties

  1. Electronically process admissions applications using Salesforce and Jenzabar, including evaluating required documents such as GED or high school transcripts, immunizations, admissions advising sessions, and placement testing needs. Manage applicant records and assign tasks to Admissions Specialists to support timely follow-up and communication with applicants.
  2. Provide front desk coverage and respond to calls with courtesy and efficiency, using department procedures to answer questions or direct inquiries. Distribute incoming faxes and voicemail messages for Enrollment Services.
  3. Oversee front desk operations, ensuring timely, accurate, and student-centered service.
  4. Supervise work-study students, including hiring, training, scheduling, task management, and monitoring work-study hours and budgets in collaboration with Financial Aid.
  5. Coordinate campus tours in partnership with the Community Outreach Specialist.
  6. Set up and administer testing for students.
  7. Maintain and update departmental reports, databases, and spreadsheets with accuracy.
  8. Update and maintain student contact information, maintaining accurate files and communicating changes to other departments as appropriate.
  9. Assist with general admissions processes and outreach activities.
  10. Assist all Enrollment Services Departments with projects as needed.
  11. Demonstrate strict adherence to confidentiality and data privacy requirements.
Qualifications

High School Diploma and 1-3 years prior work-related experience, positive attitude, and customer service oriented. Ability to communicate effectively with and relate well to others. Ability to work with frequent interruptions and to establish rapport with students. Demonstrated proficiency with email, word processing, spreadsheets, and skilled in database input.

  2. Knowledge of current technology used in educational services.
  3. Knowledge of policies, procedures, functions, and organization of assigned areas of responsibility.
  4. Excellent customer service skills.
  5. User-level knowledge of Outlook, Word and Excel is required.
  6. Ability to multi-task and prioritize with strong organization skills.
  7. Ability to operate various office equipment, including but not limited to computers, telephone systems, and copiers.
  8. Works effectively and productively as a team member. Keep others informed of information needed. Treats others with respect, maintaining a spirit of cooperation.
  9. Maintains effective and professional verbal and written interactions with peers, customers, supervisors, and other staff.
  10. Uses diplomacy and tact in dealing with difficult situations or people. Demonstrates effective listening skills.
