Human Resources is seeking a dynamic and
detail-oriented individual to join our team as an HR Administrative Support Technician. This positionwill assist the City of Virginia Beach's Staffing and Compensation division by supporting administrative processes related to the recruitment and on-boarding of Human Services staff and contract workforce. The
ideal candidate will have the demonstrated ability to professionally communicate both orally and in writing with internal and external customers, display advanced proficiency in Microsoft Office Suite, and be able to perform administrative tasks in an efficient and accurate manner in a high-volume work environment.
Specific duties include, but are not be limited to:
- Provide quality service and assistance to customers, city department staff, and onboarding employees.
- Track daily vacancy status updates; manage approximately 40-50 vacancies at a time for assigned Human Services divisions.
- Monitor recruitment metrics (time to fill, days from offer approval to start date, days from requisition close to application review, etc.)
- Schedule onboarding appointments and manage associated activities.
- File electronic documents for department records both in Human Resources and Human Services.
- Serve as the liaison with recruiting/temporary agencies to fill critical vacancies in a timely manner.
- Support the vacancy posting and Human Services recruitment/hiring processes.
- Conduct verbal and written job offers with approval from HR Business Partner.
- Ensure all new hire on-boarding activities are complete and timely.
- Maintain confidential hiring documents per records management retention requirements.
- Assist in maintaining the Human Services Department vacancy report, compiling hiring metrics for routine reporting to include statistical tables.
- Attend recruitment partner meetings and track numerous sets of data.
- Proofread and edit documents ensuring compliance with departmental requirements.
- Perform on-boarding processes for new staff, transfers, promotions, and demotions.
- Coordinate with the DHS Information Technology division to process service tickets for new user accounts and other computer access requests.
- Coordinate with Facilities Management for new employee ID badge and building access requests.
- Conduct one-on-one trainings with hiring managers and hiring support staff related to recruitment and on-boarding processes.
