General Summary:
Provide administrative support to Fleet Operations Team at a new state-of-the-art facility in Deforest, WI, with the execution of the fleet strategic plan and action plans. Interface on a secondary basis with project management, maintenance mechanics, tools, and yard coordinator, and drivers to execute fleet strategic plan.
Principal Accountabilities:
- Maintains license records & files annual renewals on all licensable equipment in the fleet. Keeps current price and weight tables of all participating states and maintains knowledge and documentation of regulatory issues affecting licensing of equipment within states of operation.
- Maintains the ordering/termination/allocation of Fleet Fuel Cards.
- Administers weekly shop work order billing cycle postings.
- Maintains and regulates Toll System plans in various work states.
- Approves A/P invoices, mechanic & driver credit cards, and transfers cost data to work order files.
- Maintains & evaluates content of COINS & equipment files (initial input, removals, quality control).
- Compiles and evaluates fleet data for further analysis at request of Fleet Operations Team members (heavy hauling costs vs. billings, etc.)
- Assists Fleet Operations Team in administering annual OSHA inspections on aerial devices.
- Coordinates disposal and auction sale of used equipment with Fleet Operations Manager.
- Assists maintenance shop and shop foreman with inventory and shop flow on in house services.
- Performs additional assignments as requested by Fleet Operations Team and Management.
Requirements
Knowledge, Skills, and Abilities Required:
- Strong interpersonal communication skills along with the ability to work in a shop environment and among shop personnel.
- Four-year college degree preferred but not required, construction software systems a plus
- Some knowledge of regulatory issues involved in licensing and permitting commercial vehicles.
- General awareness of construction equipment, especially as used in utility applications.
- Proficiency in the use and construction of spreadsheets and databases (Word, Excel, Bluebeam, etc.).
- Strong ability to independently seek resolutions from available resources.
- Strong verbal and written communication skills along with proficiency in weights and measures calculations.
- Superior organizational skills required.
- Valid WI driver's license in good standing is required.
Description of Physical Working Environment
- Work in a new multifaceted shop-office environment, making frequent visits to the maintenance shop and equipment yards. Both maintenance shop and equipment yards can be semi-dirty environments at times.
- When in the office, regularly works from a sitting position with a computer. Repetitive typing and computer use are required. Regular bending, twisting, and light lifting is common.
- Shift requires lifting of materials up to 25 lbs.
- Some driving of trucks or fleet vehicles.
- Ability to climb up and down ladders, steps, and equipment access points sometimes is required.
