What you'll do on a typical day

The Davidson-Davie Community College Foundation is a nonprofit organization dedicated to supporting the college and its students through educational and charitable efforts. The administrative specialist will provide administrative support as a key member of the Davidson-Davie Foundation staff. This position involves assisting with a variety of tasks to support the Foundation Board of Directors, faculty, staff, and students. This position will provide administrative support to the Foundation office operations and requires excellent customer service and organizational skills.
Essential Job Functions:
  • Process donor transactions and prepare deposits
  • Donation reporting and tracking for publication purposes
  • Prepare, print, and mail donor acknowledgement cards
  • Prepare purchase orders, invoices, and monitor payments to and from vendors
  • Open and process Foundation mail
  • Prepare necessary supplies and printed materials for events
  • Assist in coordinating catering and reservations for events
  • Attend in-person events and assist as directed
  • Assist in the management of alumni and retiree events and projects
  • Manage office reception area and greet and direct visitors
  • Manage and order office supplies and other items as needed
  • Answer Foundation telephone line
  • Monitor Foundation email
  • Assist with large mailings
Your attributes

Minimum Qualification:
  • Associate Degree or higher from an accredited college or university
  • Two years of appropriate and relevant professional experience working in an office setting
  • Proficiency working in Excel, Word, and Google Docs
Preferred Qualifications:
  • Experience working in a college Foundation or a non-profit organization
  • Experience working with Blackbaud software
  • Customer service experience
  • Experience preparing banking deposits
  • Ability to prioritize multiple projects and resolve issues and concerns effectively and on time
  • Able to exercise discretion and professionalism in handling confidential information
Work environment

ADA requirements for this position include critical thinking skills with the ability to process information and exercise good judgment; ease of mobility within the work environment and other areas of schools, campus and College locations; travel between schools and campus locations may be required; and effective use of all forms of communication including use of computers.
