The Administrative Support Specialist position is a shared role providing critical operational and administrative support to the Intake, Development, and Billing departments of Virtus Health. This position ensures smooth workflows, accurate documentation, and timely communication across multiple departments. The role requires strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment. This individual will support client intake, referral development, and billing processes, playing a key role in enhancing overall operational efficiency. The position is based out of our Corporate Offices in Sarasota, Florida reporting to the Director of Development.

Responsibilities:
  • Verify insurance benefits (VOBs) for prospective clients, ensuring accurate and timely communication to the Intake team and families;
  • Meet or exceed all KPIs, goals, and objectives on a weekly, monthly, quarterly, and annual basis;
  • Collect and manage required documentation from doctors, schools, and other professionals to complete client intake files;
  • Organize and maintain accurate client records in the CRM system, ensuring data integrity;
  • Assist with client onboarding by coordinating administrative tasks with the Intake Coordinator and local teams;
  • Send faxes, emails, and other communications related to referral follow-ups and event coordination;
  • Provide administrative support for referral sourcing activities, including tracking interactions, maintaining referral databases, and preparing outreach materials;
  • Support intake during periods of high inquiry volume to ensure timelines are met;
  • Actively support referral outreach by contacting referral sources;
  • Provide coverage for billing and authorization functions during high influx periods or team member vacations to ensure no disruptions in services;
  • Other duties as assigned.

Qualifications:
  • 2+ years of experience in administrative or operational support, preferably in healthcare or ABA services;
  • Proficient with CRM platforms, Google workspace, and other administrative tools, experience with Central Reach and Airtable preferred;
  • Strong organizational and multitasking skills with excellent attention to detail;
  • Ability to work independently and manage competing priorities effectively;
  • Strong communication and interpersonal skills, with the ability to collaborate across multiple departments;
  • Familiarity with insurance verification processes, referral development, and ABA services is a plus.
