Administrative Support Specialist - Behavioral Health to support the
Commonwealth of Massachusetts Department of Mental Health at their Hyannis, MA location.
Position Overview: The
Administrative Support Specialist will play a critical role in supporting daily operations at the Cape Cod and Islands Community Mental Health Center. This position requires strong organizational, clerical, and interpersonal skills to support staff, clients, and the public in a fast-paced behavioral health environment.
Key Responsibilities: - Answer and direct incoming phone calls in a courteous, professional manner.
- Greet and sign in visitors; issue visitor badges.
- Maintain up-to-date, accurate medical and administrative records in accordance with policies.
- Draft, format, and type correspondence, forms, reports, labels, and envelopes.
- Receive, sort, and distribute incoming mail, memos, and packages.
- Operate standard office equipment including copiers, fax machines, and calculators.
- Perform routine maintenance on office machines and coordinate repairs as needed.
- Manage data entry in spreadsheets for reporting and tracking purposes.
- Record and transcribe meeting minutes for center-wide committees and staff meetings.
- Order and inventory office supplies; maintain an organized stockroom.
- Verify deliveries and process packing slips for purchasing records.
- Provide administrative support to department heads, including document preparation and filing.
- Offer clerical support to all programs across the Hyannis site.
- Assist the clerical supervisor with administrative tasks as needed.
- Handle culturally sensitive communication and provide appropriate client referrals.
• Qualifications: - High School Diploma or equivalent required.
- 2+ years of administrative or clerical experience; experience in behavioral health or medical office preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to interact respectfully with individuals from diverse cultural and spiritual backgrounds.
- Comfortable handling confidential information and multitasking in a busy environment.
