We're seeking an Administrative Support Specialist to join our team and provide chaplaincy support for an Army command. This position is perfect for someone who thrives in a dynamic environment and enjoys helping to keep things running smoothly.
Key Responsibilities: - Manage schedules and meetings, including coordinating conference calls and online meetings, and resolving any scheduling conflicts.
- Act as a primary point of contact for visitors, phone calls, and emails, providing assistance as needed.
- Process incoming mail daily, sorting and taking action as required.
- Ensure adequate postal and office supplies are available for the recruiting company and individual recruiting stations.
- Maintain comprehensive reports and files, both paper and electronic, for current and historical data.
- Prepare various travel orders and review unit member travel requests using the designated travel system.
- Electronically enter new leads into the lead management system.
- Keep training schedules up-to-date within the training management system and ensure complete copies are distributed.
- Maintain organizational health records, ensuring all files are complete, reports include all required forms, and are submitted within established timelines.
- Notify appropriate representatives when technology issues arise.
Qualifications: - High School Diploma or equivalent.
- Proficient in using Microsoft Office 365.
- Excellent communication, organizational, and interpersonal skills.
- Knowledge of administrative and clerical procedures, including file management, record-keeping, and general office practices. Previous work experience in a similar administrative role is a plus.
- Must be a US Citizen.
- Must pass a federal background check and drug testing.
Pay Rate: $18.13 per hour, plus an additional $4.93 per hour health and welfare stipend.
Schedule: Monday - Friday, 8:30 AM - 3:30 PM (30 hours per week)
