PURPOSE OF POSITION Performs a full range of administrative support duties to the Associate Head of School for Academics and Operations, the Academics Office, and the Director of the Dine Bizaad Institute with broad knowledge of clerical and administrative support principles and practices; administer office functions related to office management, communication, and human relations.

QUALIFICATIONS AND REQUIREMENTS
  • Five (5) years administrative experience in a business or school setting, AA Degree preferred.
  • Proficiency in computer skills including working knowledge of common computer platforms and software applications - Microsoft Office; Word, Excel, Outlook and Adobe Acrobat.
  • Excellent skills in verbal/written communication, leadership, organization, customer service, and ability to work under pressure and meet deadlines.
  • Maintain high levels of integrity and confidentiality with regard to sensitive company and personnel information.
  • A high degree of professionalism in personality and style.
  • Be proactive, flexible, analytical, quick to respond to problems and motivated.
  • Reasonable knowledge of policies, procedures and regulations that govern P.L. 100-297 Grant school programs.
  • Must have good attendance and being on time.
  • Ability to speak Navajo, preferred (but not required)
  • A valid driver's license with a safe driving record.
Navajo/Indian Preference:

Consideration for employment will be given to Navajo, American Indian or Alaskan Tribal member with the required documentation including the necessary qualifications to meet the minimum requirements of the position. The Navajo/Indian preference law shall apply in all aspects of the position.

SUPERVISOR

Primary: Associate Head of School for Academics and Operations (AHOSAO)

DUTIES & RESPONSIBILITIES

  1. Prepare and edit correspondence, communications, presentations and other documents for the academic department.
  2. Prioritizes and performs multiple office tasks for AHOSAO to include preparation of agendas, arranging itineraries and taking notes at meetings.
  3. Supervises staff in the daily operation of the Betty O'jaye Student Center Front Office to keep it operating in a smooth productive manner with a high level of professional appearance.
  4. Conduct research, collect and analyze data, prepare reports.
  5. Design and maintain databases.
  6. Participate in policy revision meetings; maintain updated policies.
  7. Manage and maintain executive schedules, appointments and other arrangements.
  8. Arrange and co-ordinate meetings and events including obtaining meals, supplies, and materials for these meetings and events.
  9. Record, transcribe and distribute minutes of meetings.
  10. Coordinate work with internal staff at all levels to support their supply and material requests as well as all student travel requests.

  14. Assist new faculty with procedures and provide resources and supplies.
  15. Protect and maintain confidentiality of information that are sensitive, classified and restricted.
  16. Maintain account balances for Advisor/Advisee program.
  17. Enter Purchase Requisitions for approval and keep annual running log of recurring purchases for activities, events, and recurring programming.
  18. Review the monthly budget report and keep track of expenditures internally.
  19. Project a good personal appearance and adhere to ethical standards with good relationships with others including professional conversations with students.
  20. Provides leadership for the Academic Substitutes including training, onboarding, and scheduling of all substitutes as needed.
  21. Represents NPS in a manner reflecting professionalism and promote understanding of the school community.
  22. Assist in the planning and execution of events and celebrations.
  23. Participate in all planning and implementation in Classroom without Walls experiences.
  24. Support and efficiently carries out responsibilities in accordance with Navajo Preparatory School Board, Inc. (NPS) Policies and Procedures.
  25. Performs miscellaneous job-related duties as assigned.
