Job Summary

Join the Department of Internal Medicine at ETSU as an Administrative Support Coordinator (IRT2) where you'll play a crucial role in shaping the future of our faculty through dynamic recruitment and event coordination. In this position, you'll provide essential clerical support to the Faculty Recruiter and Financial Management Analyst, ensuring a seamless experience for prospective faculty during multi-day site visits. Your organizational skills will be key as you manage logistics for accommodations, dinners, and interviews, making a lasting impression on candidates.

As part of your responsibilities, you'll oversee job postings on external platforms and facilitate travel reimbursements, helping to streamline the recruitment process. You will also support the creation of compelling recruitment materials and organize onboarding activities, setting new faculty members up for success from day one.

In addition to recruitment efforts, you'll track and maintain records of faculty scholarly activities, board certifications, and reappointments, ensuring compliance with important deadlines. Your event coordination skills will shine as you organize catering, manage vendor orders, and design impactful departmental communications for various events.

This role also includes taking meeting minutes, managing social media content, and providing backup support for the department's financial management and newsletter distribution. Knowledge, Skills and Abilities
  • Knowledge of software programs including Microsoft Suite, Teams, Canva, Davinci, and Banner/Goldlink
  • Knowledge of modern office practices, procedures, and equipment
  • Proficient in Excel
  • Knowledge of Accounts Payable/Receivable, requisitions, invoicing, and purchase orders
  • Ability to communicate effectively through verbal and written means

Required Qualifications
  • High School Diploma or Equivalent
Preferred Qualifications
  • Experience in Higher Education, Medical education, or similar
