Position Overview: The Administrative Support Coordinator is responsible for providing administrative support and project management support within the association's Public Affairs department. Reporting to Vice President, Campaigns and Special Projects, the administrator will assist in processing invoices, managing communications, and supporting the public affairs team in day-to-day functions.
Key areas of responsibility: Data input and campaign support (60%)
- Create and send approved revenue invoices within AMS system. When payment is received by finance department, update AMS accordingly.
- Track uncollected campaign revenue and manage associated correspondence
- Maintain separate records regarding revenue payments and account statuses
- If required outside of monthly reporting by finance department, maintain record of campaign expenses and budget
- Manage correspondence with vendors and input expense invoices into AP system for review and approval.
- Respond to administrative vendor inquiries
- Prepare regular status reports to be shared with stakeholders
Administrative Support (40%)
- Coordinate with campaign staff on day-to-day and long-term support needs
- Serve as liaison between campaign staff and finance team
- Maintain calendars and meeting planning for the executive team as needed.
- Provides program support to designated teams (i.e., Regulatory and Public Affairs) for routine tasks and ad hoc projects.
Requirements Experience & Education:
- Bachelor's degree or equivalent combination of education and experience.
- 2-3 years of professional experience.
- Non-profit and/or trade association experience a plus
Skills:
- Advanced proficiency in Office 365 Word, Excel, and PowerPoint
- Experience with data entry - AMS and AP system software preferred.
- Strong written communication skills
