Class Summary
Job Description The Administrative Support Associate II provides essential administrative support to the Office of Civic Engagement and Social Impact, contributing to the department's mission of promoting civic responsibility, volunteerism, and equitable community engagement. The role includes maintaining team schedules, supporting program logistics, maintaining departmental records, purchasing, and assisting with community outreach and volunteer initiatives.
Essential Duties
•  Performing administrative tasks including data entry, answering, and routing calls, processing mail, and maintaining office records.
•  Coordinating internal meetings and community program logistics; preparing agendas, taking notes, and distributing meeting summaries.
•  Assisting with creating and tracking budget reports, processing invoice payments, purchase orders, and travel reimbursements in support of program operations.
•  Maintaining department files, including timekeeping documentation, evaluation tracking, staff training records, volunteer data, and personnel forms as directed.
•  Supporting community initiatives by coordinating and staffing Office of Civic Engagement and Social Impact events, food distributions, and community tabling opportunities.
•  Preparing and distributing newsletters, flyers, and outreach materials; help maintaining inventory of promotional, event confirmation information, and marketing supplies.
•  Tracking and mailing proclamations and official invitations; updating program materials and organizing digital assets.
•  Providing customer service by interacting with the public, volunteers, and elected officials
•  Answering questions and offering information about department programs.
•  Covering colleagues' responsibilities during breaks, planned leave, and emergency absences on a rotating basis. Public Speaking Duties
•  Representing the Civic Engagement and Social Impact Division at outreach events, tabling opportunities, and community programs by speaking with residents about volunteer initiatives, encouraging civic participation, and promoting Gwinnett County Government resources.
•  Delivering clear and engaging public messages during front-facing events, helping to raise awareness of the division's mission, strengthen community relationships, and foster greater public involvement in social impact efforts. Grade
The grade for this position is a grade 100D. Salary will be dependent on education and experience.

Effective 4/11/2023, this position is eligible for the Employee Referral Program. Minimum Qualifications
•  High School Diploma or GED AND
•  Two years of administrative support or related office experience
•  An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above will also be considered. Preferred Qualifications in addition to the above minimum qualifications
•  Associate's degree in human services, communication, public administration, business administration or community development
•  Experience in community outreach and event coordination with both volunteers and public
