Overview The Administrative Support Assistant is responsible for providing various administrative support functions for the NWFCU Board of Directors and daily executive office operations under the supervision of the Chief of Staff (COS). This role may serve as contact coordinator by handling phone calls, directing visitor traffic, and scheduling events/meetings, while completing work with a limited degree of supervision.
Responsibilities- Maintain Board of Directors related lists, policies, and calendars
- Prepare monthly Board packets, including solicitation and monitoring of receipt of reports from various staff members
- Ensure timely submission of reports and policies each year for required Board review and approval
- Arrange all logistical aspects of Board meetings, including meeting menu, supply shopping, room set-up, and clean-up
- Transcribe notes and draft minutes from Board meeting recordings
- Record Board Meeting resolutions and maintain records by year
- Provide support for Board committee meetings, annual Board elections, and Board Organizational Meeting
- Register Board members for conferences and make travel and room reservations if requested.
- Ensure timely receipt of expenses and conference reports
- Track and update action items
- Collect, sort, and distribute reports, correspondence, and online messages
- Use business software applications (e.g., word processing, presentation, and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc
- Support logistical and administrative tasks to ensure the seamless execution of employee events across business units
- Assist with special projects and tasks as needed
- Remains cognizant of and adheres to NWFCU policies and procedures as well as regulations pertaining to the Bank Secrecy Act (BSA)
- Perform other duties as assigned
QualificationsRequired - High school diploma or equivalent
- Minimum of 3 years of administrative support experience
- Ability to maintain confidentiality and integrity
- Ability to multitask in a fast-paced environment
- Proficiency in Microsoft Office suite of products (especially Word, Excel, and PowerPoint)
- Ability to work independently and in a team environment
- Excellent organizational and time management skills
- Proficiency in word processing and spreadsheet software
- Ability to show initiative and use good judgment
- Accuracy, attention to detail, and ability to meet deadlines
- Effective communication at all organizational levels
- Strong research, analytical, and problem-solving skills
- Ability to work effectively on-site in our Herndon, VA headquarters and equally effectively remotely
- Must be able to work the hours of M-F 8:00 AM - 4:30 PM
Preferred - Demonstrated experience supporting and operating within an executive-level environment
- Associate degree or comparable educational experience
- Prior experience at a financial institution
