Summary The Administrative Support Assistant provides a variety of program/administrative services essential to the direction and operation of Tennessee Valley Healthcare System (TVHS) Clarksville Area Service (CAS). Assigned duties provide direct assistance tot he service line which they are assigned. Responsibilities Major duties will include, but are not limited to: Provide administrative support to Service as needed. Schedule and make arrangements for regular and special conferences and meetings, arrange for space, equipment, provide notification, assembles and distributes information required, prior to meetings. Serve as recorder and transcriber. Prepare agendas and minutes for signature. Serve as primary and/or back-up timekeeper. Prepare personnel actions and coordinate with Human Resources. Maintain filing system. Serve as ADPAC and process System Access Requests (SARs) for assigned employees. Serve as Talent Management System (TMS) Coordinator. Ensure all mandatory training is completed. Process incoming and outgoing materials to include reports, memoranda, letters, etc. Review correspondence for accuracy and completeness. Maintain full control over calendars for service, schedule appointments and coordinate meetings. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/22/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. In addition to meeting the time-in-grade requirement, you must meet the following specialized experience: GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, To be creditable, specialized experience must have been equivalent to at least the next lower level (GS-5) of Federal service. Specialized experience is defined as performing a full range of administrative support for an office; receiving visitors and phone calls; reviewing all incoming and outgoing correspondence; scheduling meetings; typing a variety of correspondence. and maintaining databases and utilizing various software programs; and maintaining fund control points. NOTE: This experience must be detailed in your resume to receive credit. You will be rated on the following Competencies for this position: Clerical Customer Service Interpersonal Skills Organizational Awareness Self-Management Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary, although there may be some walking, standing, bending and carrying of light items, such as papers, books or small parts.
