Great opportunity for a full-time ADMINISTRATIVE SPECIALIST in West Sacramento, CA. This position is a key administrative role supporting the President of the company. The role supports day-to-day, weekly, and monthly administrative tasks and responsibilities, including support with facility, equipment, vehicle, and boat maintenance, key personnel time and expense entries, and general HR and IT assistance. There will be opportunities to support the Genidaqs Lab also in West Sacramento and the corporate Business Support Team in Portland, OR.

HOW TO APPLY:

ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Provide high-level administrative support to the President ensuring smooth daily operations.
  • Manage scheduling, calendar coordination, and travel logistics for the President and organizational leaders, including prioritizing meetings, booking travel, arranging itineraries, and organizing Microsoft Teams calls.
  • Draft and prepare internal and external communications, meeting agendas, reports, and presentation materials; support board communications and special projects as needed.
  • Serve as a liaison for staff communications and collaborate with administrative team members across locations to ensure consistent organizational support, including regular participation in Admin Team meetings.
  • Order, track, and maintain inventory of essential supplies for the assigned office location.
  • Oversee facility upkeep and coordinate services to maintain a clean, functional work environment, including managing repairs, DMV registrations, and travel logs.
  • Represent the assigned location(s) on the Safety Committee and contribute to workplace safety initiatives.
  • Provide general front-office support by receiving and distributing mail and packages and answering incoming calls as part of the main phone number operator queue.
  • Support HR processes such as onboarding and offboarding, local recruitment efforts, and the coordination of employee trainings, certifications, and Brown Bag sessions.
  • Provide basic on-site IT helpdesk support in coordination with the IT team, including hardware and software setup for new and existing employees.
  • Collaborate with the Finance team to process receipts, expense reports, and financial documentation.
  • Maintain organized and accurate administrative files, both physical and digital, to ensure easy access and proper documentation of records.
  • Handle sensitive and confidential information with a high level of discretion and professionalism.
EDUCATION / MINIMUM QUALIFICATIONS: A 2-year degree required; BS/BA preferred. Experience in administrative support, business writing, basic HR support, and basic understanding of IT.

COMPENSATION:
  • Salary: $27 - $32/hour (Dependent on experience)
