Position: Administrative Specialist - Contracts

Reports to: Contract Manager

Classification: Non-exempt / Hourly

Compensation: $22 - $25 hr.

Date: Immediately

Description

The Administrative Specialist on the Contract team will support the Estimating Team throughout the bidding process. This full-time role will also support the Contract Manager and Project Managers once bids are awarded and contracts are made by preparing purchase orders, submittals, and permits, preparing work orders, requesting underground locates, and helping solve daily issues so projects are completed efficiently, organized, and timely.

Essential Duties
  • National Fuel Contract Support includes receiving calls from National Fuel Customers, entering repair orders, preparing maps, coordinating work with National Fuel, the Project Manager, and assisting in invoicing the completed work.
  • Assisting the Contracts Manager with creating new contracts, printing out work orders, entering dig safe underground locates, and any other contract requirements as needed.
  • Take calls from customers requesting bids
  • Assist the estimating team with the bidding process, which includes downloading bid documents and drawings, updating the bid calendar, and entering bids in the computer.
Supervisory Responsibility

This position does not have supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

The employee is frequently required to sit. The employee must frequently lift and/or move up to 10 pounds and occasionally lift or move up to 25 pounds. Must be able to climb and descend a flight of stairs as needed.

Position Type/Expected Hours of Work

This is a full-time position, Monday through Friday. Extended hours, nights, and weekend work may be necessary based on business needs.

Travel

This position requires no regular and customary travel. However, travel on occasion may be required to visit customer or vendor sites to gather requirements and meet the needs of the business. Candidate must have a valid Driver's License.

Compensation

Hourly range is $22.00-$25.00 (depending on experience)

Requirements

Qualifications
  • 2-4 years of experience required in an office or construction-related role
  • Excellent customer service and communication skills
  • Proficient in the use of Microsoft Office suite
  • Ability to multi-task and effectively manage time
  • Experience working across multiple teams
  • Self-motivated, dependable, accurate and detail-oriented
  • High school diploma or equivalent

Salary Description
