Description
The Administrative Specialist provides a wide variety of administrative support functions for the Career and Technical Education Division on the Cumberland campus. The Administrative Specialist will at times work independently by taking initiative to ensure efficient daily operations, collaborates with a wide range of internal and external college constituencies to support the division effectively.

Examples of Duties

  1. Provides excellent customer service to all customers of Career and Technical Education. This will include responding to the needs of walk-in customers as well as inquiries via E-mail, phone, and online.
  2. Ensures communication within and between all units of Career and Technical Education.
  3. Maintains customer and contact databases.
  4. Assists with the coordination and implementation of recurring and special programming including but not limited to information sessions, career fairs, and open houses.
  5. Processes all required purchase orders and check requests per the approved budget.
  6. Orders and maintains equipment and supplies for programs and ensures product stock supplies are adequate.
  7. Disseminates Instructor packets and classroom textbooks.
  8. Registers students for Career and Technical Education courses and programs, including third party vendor training programs.
  9. Manages class and program schedules
  10. Supports, maintains, and utilizes the college registration system to set up courses, manage schedules, student records, billings, etc.
  11. Collect student payments, applies student payments to accounts and makes daily deposits.
  12. Professes refund requests for the department.
  13. Responsible for room scheduling and emailing course reminders.
  14. Assists in editing, revising, and disseminating marketing materials for the Division.
  15. Supports and assists supervisory personnel with projects
  16. Performs other duties, as assigned.

Minimum Qualifications
  • High school diploma or GED required; Associate degree preferred
  • Administrative support experience working in an educational setting required. Career & Technical Education field preferred.
  • Proficiency in Microsoft Office applications
  • Ability to work a flexible schedule with varied hours to meet department and College needs
  • Ability to work with discretion, maintain confidentiality, and exercise sound independent judgment
  • Possess the ability to work well and communicate effectively with prospective and current students, staff, faculty, administration, and colleagues and community partners
  • Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic and ethnic backgrounds of community college students, faculty, and staff and a commitment to a student-centered environment

Dental: The College offers dental insurance through the NJ School Employees Health Benefit Program, with six plan options (base plan is free to employees).

Group Life Insurance:
Life Insurance is underwritten by the Prudential Insurance Company of America, Inc., and is provided as a result of pension membership. There is no cost to the member for this coverage. The State Treasurer is the official policyholder for all the Noncontributory Group Life Insurance.
Tuition Reimbursement/Waiver:
RCSJ offers tuition reimbursement for up to 12 credits per fiscal year. The College also offer a tuition waiver for RCSJ courses for employees and eligible dependents.
