UW Medicine's Ambulatory Business Operations department has an outstanding opportunity for a
Administrative Specialist WORK SCHEDULE - 100% FTE
- Days
- Hybrid - occasional telework mostly onsite JOB RESPONSIBILITIES
- Provide advanced executive administrative support to leadership in Ambulatory Access, Business Operations, and the Contact Center.
- Serve as a principal point of contact for communications and workflow with hospital CEOs, medical directors, directors, community leaders, and the Office of the President
- Manage complex calendars, prioritize and coordinate scheduling needs, arrange high-profile meetings
- Ensure leaders are equipped with all relevant briefing documents and materials
- Draft, edit, and distribute sensitive executive communications, correspondence, briefings, and presentations
- Oversee planning and logistics for major meetings, multi-stakeholder events, systemwide conferences, and organizational retreats
- Lead coordination and administration of onboarding for new team members
- Provide project management, documentation, and logistical support for high-priority operational and strategic initiatives REQUIREMENTS
- Bachelor's degree in business administration, healthcare administration, or related field, or equivalent combination of education and professional experience
- 6+ years of experience in office administration, operations coordination, or program management, preferably within a healthcare setting
- Strong organizational skills, attention to detail, and ability to juggle multiple priorities
- Experience with scheduling software, intranet/SharePoint management, and budgeting platforms such as Workday
- Excellent communication skills, both verbal and written
- High level of proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and related technologies
