Job Title: Administrative & Sales Assistant -Japanese Bilingual-

Location: Los Angeles, CA (Hybrid - min. 3 days/week in-office)

Employment: Part-Time (5 hrs/day, Mon-Fri)

Reports to: Vice President, Head of LA Office

Hourly Rate: $22-25 (DOE)

Overview

A Japanese company is seeking a Part-Time Administrative & Sales Assistant to support its newly established LA business office. This role will provide a wide range of administrative, financial, and sales support functions, playing a key part in expanding business in North America.

Key Responsibilities

Administrative (30%)
  • Serve as the first point of contact for the office-manage calls, visitors, and general inquiries.
  • Schedule and coordinate meetings (both virtual and in-person) and assist with travel arrangements.
  • Support new office setup, supply orders, internal communications, and general office maintenance.
  • Help plan and organize company events and team activities.
Finance Support (30%)
  • Assist with processing invoices, expense reports, credit card reconciliations, and financial record keeping.
  • Support coordination with vendors and liaise with the New York head office on AP/AR and budget tracking.
  • Maintain organized filing of receipts, contracts, and royalty reports.
Sales Assistance (40%)
  • Prepare and maintain sales materials, client proposals, and presentations.
  • Support client communication and CRM tracking (including follow-ups and database maintenance).
  • Translate documents (Japanese/English), review contents summaries, and assist with market research.
Qualifications
  • 3-5 years of experience in administration, finance (AP/AR), or sales support.
  • Bilingual in Japanese and English (business-level proficiency in both).
  • Bachelor's degree in Business, Marketing, Finance, or related field preferred.
  • Strong skills in Microsoft Office (Excel, Word, PowerPoint); QuickBooks experience a plus.
  • Detail-oriented, organized, and able to work independently in a cross-cultural environment.
  • Interest in Japanese and American entertainment is a plus.
