Administrative Professional and Paraprofessional Contract

Position Description: This position is central to the efficient operation of the District Service Center and provides vital administrative support to the Welcome Center. The primary focus is to deliver exceptional customer service and expertly manage front office operations. This includes providing comprehensive administrative support across district departments and dedicated support for Welcome Center activities such as facilitating enrollment, managing Community Ed program registrations, and serving as a knowledgeable and proactive problem-solver for families. Reporting to the Welcome Center Specialist, this role collaborates closely with technology managers to ensure seamless service delivery and optimize operational efficiency.

Typical Responsibilities:

Customer Service:
  • Provides administrative support, including customer service, by responding to inquiries received in-person, by phone, or by email, and serves as the initial point of contact for routine and non-routine matters as the district office receptionist.
Enrollment:
  • Facilitates student enrollment, transfer, and withdrawal processes in collaboration with families, building clerical staff and district partners. Ensures all paperwork has been completed. Maintains and updates necessary data entry into the District student information system to reflect current and up-to-date information.
  • Supports enrollment and registration for Welcome Center and Community Ed programs as needed. Acts as first point of contact for routine and non-routine administrative support duties, which include customer service such as responding to in-person, phone and email inquiries from families; scheduling and coordinating appointments, revising and distributing standard documents and correspondence, and maintaining confidentiality in all said activities.
  • Maintains and updates necessary data entry into the District student information system and Community Education database to reflect current and up-to-date information. Utilize software and technology tools for program management, registration, scheduling, data entry, and communication. Manage data in both registration (Eleyo) and the student information system (Skyward) to support registration processes and share information.
  • Maintains confidentiality in all said activities.
Safety and Security:
  • Responsible for the communication of emergency calls to administration leadership.
  • Helps manage site/district access control, including issuing, collecting, and tracking security badges.
Administrative Support:
  • Composes, edits, and reviews a variety of standard or specialized correspondence, reports, documents, applications, forms, violations, memos, and other applicable materials.
  • Sorts and distributes mail and packages for the district office.
  • Schedules and coordinates District Service Center meeting rooms.
  • Maintains a clean and safe reception area, ensuring it is well-organized and presentable.
  • Board book backup/committee meeting set up.
Qualifications and Knowledge Requirements:
  • High school diploma or GED; four years administrative support or related experience; or equivalent combination of education and experience.
  • Computers and applicable software applications such as Google Workspace, Microsoft Office, Skyward (student information system), Eleyo (customer relationship management database) or related systems
  • Customer service procedures and processes;
  • Office procedures and equipment;
  • Recordkeeping and database procedures and processes;
  • Strong attention to detail and accuracy
Skill Requirements:
  • Strong interpersonal and customer service skills with a professional and welcoming demeanor
  • Maintaining records and files
  • Processing information utilizing established procedures
  • Ability to maintain confidentiality
  • Computer proficiency. Operating computers and applicable software applications.
  • Must have the ability to handle more than one project/task at a time while maintaining a positive professional demeanor despite numerous interruptions.
  • Demonstrate the ability to communicate both verbally and clearly and concisely in writing.
