Our Greenway Plaza client is seeking a highly organized and detail-driven Administrative & Operations Coordinator to support executive leadership and departmental operations. This newly defined role is critical to creating order, improving internal processes, and ensuring accurate and timely documentation related to contracts, vendors, and internal workflows.


This opportunity is ideal for someone who thrives in high-energy, unstructured environments, takes initiative, and brings professionalism, focus, and strong organizational skills to every task. You'll be instrumental in establishing structure and consistency across the division.


Key Responsibilities:

  • Administrative Oversight: Provide proactive administrative support to the division and its executive team, ensuring effective communication, scheduling, and task follow-through.
  • Document & Contract Management: Maintain organized systems for contracts and related records, ensuring timely follow-up on outstanding items and document accuracy.
  • Vendor Onboarding & Support: Assist in end-to-end vendor setup, including collecting required documentation, managing KYC processes, and submitting credit applications.
  • Process Coordination: Identify gaps, streamline workflows, and implement organizational improvements across administrative functions.
  • Reporting & Data Tracking: Utilize Microsoft Excel to manage data, prepare reports, and support operational analysis.
  • Cross-Team Support: Act as a reliable point of contact for field staff and internal stakeholders, providing responsive and solutions-oriented support.

Qualifications:

  • Advanced proficiency in Microsoft Excel - this is essential and non-negotiable
  • Strong working knowledge of Microsoft Word, Adobe PDF, and related tools
  • Experience managing contracts, vendor documentation, and administrative processes
  • High degree of professionalism, maturity, and discretion
  • Proven ability to operate independently in a fast-changing, deadline-driven setting
  • Strong organizational and communication skills with acute attention to detail
  • No college degree required-practical experience and demonstrated competence are valued most
  • Confident, self-directed, and adaptable to ambiguity
  • Comfortable managing shifting priorities and high volumes of information
  • Committed to efficiency and proactive problem-solving
